Our client is looking for an established Company Secretary Assistant to join its established team in London City.

Are you a meticulously organised and client-focused individual looking to advance your company secretarial career?

Our client, a leading FTSE 250 firm, is seeking a talented professional to join its dynamic team and play a crucial role in managing compliance for a large portfolio of UK entities.

About the Role:

As a Company Secretarial Assistant, you'll be instrumental in ensuring the seamless compliance and efficient administration for a significant portfolio of UK entities. Your main responsibilities will include:

  • Managing the comprehensive compliance diary, ensuring all statutory filings are completed promptly and corporate records remain meticulously up to date
  • Preparing and filing annual confirmation statements and coordinating client reviews and approvals
  • Updating statutory registers based on client instructions
  • Informing clients of upcoming statutory deadlines, such as Annual Accounts due dates
  • Drafting Director resolutions for annual accounts approval
  • Maintaining electronic corporate records using Diligent Entities
  • Drafting of relevant approvals for routine corporate changes (eg, Director appointments, registered office changes) and arranging for the relevant filings to be made at Companies House
  • Handling the formation/incorporation of UK entities and drafting essential post-completion documentation
  • Contributing to revenue by ensuring accurate and timely invoicing for completed work
  • Actively participating in business development, optimising administration processes and maintaining precise records and databases
  • Developing and nurturing excellent relationships with clients, lawyers, global project managers and new business providers

  • Strong time management, organisational and planning skills, with a proven ability to prioritise tasks, multi-task effectively and meet strict deadlines
  • Exceptional attention to detail, ensuring the accurate and timely completion of critical, compliance-focused tasks
  • Excellent rapport-building and communication skills (both written and verbal), confidently engaging with multiple stakeholders at all levels
  • A commercial and practical outlook, contributing to the business's success
