As a Compliance Administrator at AVK, you will provide essential administrative and coordination support to the Compliance Team. Your role will focus on maintaining accurate documentation, supporting the Integrated Management System (IMS), monitoring compliance records and ensuring that compliance-related administrative processes are managed efficiently and in a timely manner.
You will be responsible for maintaining records, tracking actions, supporting audit preparation, managing certification documentation and coordinating compliance communications across the business. This role requires strong organisational skills, attention to detail, discretion and the ability to manage multiple priorities while maintaining confidentiality.
Travel may occasionally be required to support compliance activities across offices or project locations, however, the role is primarily office-based and administrative in nature.
Key Responsibilities:
Maintain and regularly update compliance databases, trackers, registers and filing systems to ensure accuracy and accessibility.
Support document control processes by ensuring policies, procedures, forms and records are correctly version controlled, issued and archived.
Maintain certification and accreditation records, including monitoring expiry dates and supporting renewal coordination.
Organise compliance meetings, prepare agendas, circulate documentation and accurately record and distribute meeting minutes.
Assist with the coordination and preparation of internal and external audits by collating documentation, scheduling meetings and tracking corrective actions to ensure timely close-out.
Conduct compliance inductions for new starters and maintain associated records.
Support the preparation of presentations, communications and other compliance-related documentation.
Maintain organised and secure electronic filing systems in line with data protection, confidentiality and UK GDPR requirements.
Provide general administrative support to the Compliance Manager and wider compliance function.
Carry out day-to-day administrative duties and other associated tasks as reasonably required to support the department.
Previous experience in an administrative role, ideally within a compliance.
Experience maintaining databases, document registers or management systems (IMS).
Understanding of document control processes and version control principles.
Awareness of ISO standards (e.g. ISO 9001, 14001 or 45001).
Basic understanding or awareness of UK GDPR and data protection principles.
Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
