Contact Preference Records Clerk

Job Description - Contact Preference Records Clerk

Contact Preference Records Clerk

Office Administration · Customer Records · Remote
Full-time or part-time | Pay: £24.75–£26.75 hourly

Keeping contact instructions current

An email address may change. Someone may ask for correspondence through a different approved channel. A duplicate contact entry may contain an older preference.

These are small details with a real effect on customer service: if a record is wrong, the next message can go to the wrong place or arrive in a way the person did not request. This position is devoted to checking authorised contact changes and making careful updates to an online record.

You would be given an instruction, a submitted change or a message from an approved source. Your first step is to establish what the person actually asked to change and which existing record it concerns. Sometimes the requested update is clear and can be made within the team’s procedure. Sometimes the contact details do not match, a choice is ambiguous or the same person appears more than once. You would note the issue and ask for guidance rather than merging records or changing communication permissions on your own.

The role does not require you to create marketing lists or decide whether someone should receive a campaign. It is about faithfully recording preferences the organisation is permitted to keep, and making the result usable to colleagues who communicate with the customer. A finished task means the correct authorised field has been changed, a short note explains the source where required and the old and new values have been checked. If the update cannot be completed, its status should make the outstanding question visible.

Checks commonly involved

  • Find the right customer record using the supplied reference and identifying details.
  • Compare the requested change with the existing contact information.
  • Enter an authorised correction without altering unrelated fields.
  • Check whether a communication preference is clearly stated before recording it.
  • Flag a possible duplicate or contradictory request to the appropriate colleague.
  • Record when an update is pending additional information.
  • Review the saved entry for a typing error or an unintended change.

The work is fairly quiet and methodical. Some days may consist largely of straightforward updates; another day may include several records that need clarification. You are not expected to investigate a customer’s circumstances or interpret a complex privacy rule. The employer will teach its procedure for recognising a valid request, recording it and seeking approval when the instruction is uncertain. You should be willing to stop at that boundary even when a quick guess would clear the task from your list.

Office administration experience is an advantage, but applicants with little or no formal experience are welcome. Work in a shop, a school office or a voluntary organisation can develop the same careful habits. You should be comfortable reading a short written request, comparing two sets of details and using a computer to make a simple change. Good spelling matters because a single wrong character can make a contact method unusable. You do not need experience with a particular customer database.

Because this is remote work, you should be able to organise a small set of assigned changes and communicate when one is blocked. A suitable home office space helps you keep attention on personal information and avoid copying details into the wrong place. The team will explain how its online system stores change history and who can approve exceptions. Your own notes should be factual and brief: they should help the next person understand the status without repeating unnecessary personal details.

Terms

The pay range is £24.75–£26.75 per hour, with full-time and part-time arrangements possible. This is an introductory records position with a defined scope. You would not be responsible for designing contact policy or making independent decisions about a customer’s account.

Application details

Your CV may show accurate data entry, careful handling of personal details or experience checking a request against a record. If you are new to office systems, evidence that you can follow written instructions is useful too. The employer will train you in its process, so previous database experience is not a condition of applying. If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. That possible stage is handled by the company recruiting for the role.
