Job Description - Contracts Administrator

Administrative Assistant
  • Annual Salary: £28,000
  • Location: Ipswich
  • Job Type: Full-time

We are seeking an Administrative Assistant to support our clients Contract Managers and Operations department, ensuring streamlined and efficient administrative operations. If you are looking to join a company that invest in training and progression, this could be the role for you!

Day-to-day of the role:
  • Provide general administrative support including handling phone calls and managing Contracts Managers' mailboxes.
  • Serve as the primary contact for clients regarding induction and delivery processes and manage the administration of necessary documents.
  • Coordinate and manage the booking of material movements to ensure operations run smoothly and on time.
  • Oversee daily reports, track issues, and report them to the Site Operations teams for resolution.
  • Prepare job packs for Supervisors prior to job commencement.
  • Develop and manage a visual tracker to record site issues and establish a reporting mechanism.
  • Maintain accurate project documentation, including contracts, drawings, specifications, and other relevant records.
  • Facilitate effective communication between internal teams, clients, subcontractors, and suppliers.
  • Handle operational client inductions completely and efficiently.
  • Take detailed and accurate notes during meetings.
  • Liaise with supply chain partners as necessary.
  • Update competencies and certifications.
  • Manage the hiring and off-hiring of all small tools.
  • Extract and catalogue information from suppliers, including material rates and delivered tonnage.
  • Ensure compliance information is received through our in-house systems.
  • Order appropriate equipment for all operatives and office staff using the company's PPE portal.
Required Skills & Qualifications:
  • Excellent communication skills, both written and verbal.
  • High attention to detail.
  • Strong analytical and problem-solving skills.
  • Proactive and can-do attitude.
  • Good time management with the ability to adapt flexibly to work demands.
