Job Description - Customer Service Executive

Customer Service Executive
  • Location: Oxford
  • Job Type: Full-time
  • Salary: £28,000- £30,000

A proactive and detail-oriented individual is sought to join a close-knit team within the publishing sector as a Customer Service Executive. This role is pivotal in supporting customer service and finance functions, ensuring smooth operations and excellent customer experiences. If organised, tech-savvy, and thriving in a collaborative environment, this is the perfect opportunity.

Day-to-day of the Customer Service Executive role:
  • Sales and CRM Management: Ownership of processing sales opportunities from initial inquiry through to completion is required. Maintaining detailed and accurate records in the Workbooks CRM system to ensure seamless tracking of customer interactions and business development activities across all departments is essential.
  • Financial Operations and Invoice Management: Handling the generation and issuing of invoices for various services and managing financial transactions including refunds and credit notes is crucial. Maintaining up-to-date customer and user lists for subscription services to support smooth financial operations is necessary.
  • Event Registration and Coordination: Managing the complete registration process for event attendees, speakers, and staff is needed. Ensuring accurate data capture and efficient processing of new registrations across multiple events and platforms is vital.
  • Event Support and Delegate Management: Managing delegate changes, cancellations, and ticket transfers is important. Maintaining clear communication with all attendees throughout the event lifecycle and providing comprehensive administrative support is required.
  • Customer Service Excellence: Acting as the first point of contact for customers across multiple channels. Responding to all customer and finance-related queries within a 48-hour standard, working collaboratively with internal teams to create seamless customer journeys is a key responsibility.
Required Skills & Qualifications for a Customer Service Executive:
  • Strong administrative skills with the ability to manage multiple tasks simultaneously while maintaining accuracy.
  • Experience with CRM systems and data entry, comfortable navigating and learning new platforms quickly.
  • Excellent communication skills, both written and verbal.
  • Proactive, can-do attitude, approaches challenges with enthusiasm and reliability.
  • Experience in customer service, finance, or event management is highly desirable.
Key Systems You’ll Use:
  • CRM, Finance & Events: Workbooks, BETI & Force24, Sage Intacct, Stripe, WIX, Swoogo.
  • Productivity: Microsoft 365 Office Suite.
