The British Virgin Islands Tourist Board & Film Commission invites applications for the position of Destination Host Coordinator. The successful candidate will oversee the Destination Host Team, ensuring team members receive appropriate training and the necessary tools to host visitors to the Destination.
This role pays close attention to anything that affects the tourism product and visitor experience, and plays a key part in supporting the overall British Virgin Islands tourism product.
KEY RESPONSIBILITIES
Lead, coordinate, and supervise the Destination Host Team to ensure efficient daily operations and a high standard of visitor service.
Develop, maintain, and implement Standard Operating Procedures for the Destination Host Team and related visitor information services.
Prepare and manage monthly work schedules to ensure that all assigned stations are appropriately staffed; submit schedules to the direct supervisor and distribute them to the team in a timely manner.
Ensure that all Destination Hosts are issued the required uniforms, work tools, identification cards, access passes, and other resources necessary to perform their duties effectively.
Monitor and enforce proper uniform standards, professional conduct, punctuality, and overall performance of the Destination Host Team.
Ensure that Destination Hosts are appropriately trained to respond to visitors’ general inquiries, provide accurate destination information, and manage emergency situations, including medical incidents, in accordance with established procedures.
Request, monitor, and maintain adequate supplies at all Destination Host locations, including promotional materials, water, stationery, and other visitor-service resources.
Administer and coordinate the VIP service programme, ensuring that arrangements are handled professionally and in a timely manner.
Prepare and submit monthly reports to immediate supervisor or by the 4th day of each month.
Assist with the development and management of programmes aimed at converting day visitors into overnight guests.
Liaise and collaborate with ship agents, ferry operators, the BVI Ports Authority, Cyril B. Romney Tortola Pier Park, Customs, Immigration, and other relevant Government agencies and industry partners to verify schedules, coordinate arrivals and departures, and support visitor-service operations.
Collaborate with the Senior Product Officer on cruise-related initiatives and other visitor experience projects as required.
Collaborate with the immediate supervisor on the preparation of the annual budget, annual report, and performance reviews for the Destination Host Team.
Conduct weekly spot checks and inspections of all information stations and promptly report any challenges, deficiencies, or areas requiring improvement to the direct supervisor.
Attend meetings as required and prepare reports or updates within two (2) working days for submission to the direct supervisor.
Conduct regular site visits of natural and man-made tourism attractions and provide reports with observations, concerns, and recommendations.
Monitor developments within the tourism sector and report matters affecting the assigned areas, making recommendations where necessary.
Perform any other related duties as assigned by the immediate supervisor, or a member of the Executive Team.
MINIMUM QUALIFICATIONS & EXPERIENCE
Associate degree in Business Administration, Hospitality, Tourism Management, or a related field.An equivalent combination of education, training, and relevant experience may be considered.
A minimum of three (3) to five (5) years of related experience in tourism, hospitality, customer service, or visitor services, including supervisory or team lead experience.
WORKING CONDITIONS
Work is performed in both an office environment and at various visitor information stations, ports of entry, tourism sites, and outdoor locations.
The position requires regular interaction with visitors, industry partners, Government agencies, and members of the public.
The position requires working weekends, public holidays, extended hours, and outside of normal working hours as operational needs dictate.
The role may require standing, walking, and moving between various locations for extended periods.
The role may involve exposure to outdoor weather conditions, including heat, rain, and other environmental factors.
The employee may be required to respond to visitor-related matters, urgent operational needs, or special events on short notice.
Travel within the Territory may be required to conduct site visits, inspections, and support tourism-related activities.
