Dispatch Coordinator

As a Dispatch Coordinator, you will play a vital role in ensuring customers receive accurate and timely deliveries. This is a varied and hands-on position, supported by a professional team every step of the way.

Purpose of the Role:

The Dispatch Coordinator is responsible for managing the timely and accurate fulfilment of customer orders, including both physical shipment and the related documentation. The role bridges the Sales and Operations functions, and also provides occasional cover for sales administration tasks. This role is key to maintaining high standards in customer service, trade compliance, logistics and internal communication.

Key Responsibilities

• Pack and Prepare Goods for Shipment -Ensure products are securely packed and labelled according to company and international shipping standards, including handling of hazardous items (e.g. lithium-ion batteries)
• Generate Shipping Documentation - Create and issue accurate paperwork including dispatch notes, commercial invoices, certificates of origin/conformity, and other customs documents as needed
• Coordinate Courier and Freight Services - Book and manage courier collections in line with customer requirements and time-lines; liaise with logistics providers and shipping agents to resolve issues
• Communicate with Customers - Send shipping confirmations and tracking details; respond promptly and professionally to shipping queries. Issue out payment/tax invoices after dispatch
• Liaise with Internal Departments - Coordinate with Sales, Operations, and Service teams to align dispatches with testing, repairs, and stock availability
• Support Trade Compliance - Follow procedures related to international trade, import/export controls, and Incoterms; liaise with compliance contacts where necessary
• Maintain Dispatch and Invoice Records - Accurately record dispatch activities in internal systems; assist in ensuring records are audit-ready and up to date
• Assist with Returns and Repairs - Support inbound shipments for items returning for calibration, service or repair, including import paperwork or clearance and tie in outbound shipments where applicable
• Provide Sales Administration Cover - Support the Sales team during busy periods or absences by assisting with quoting, order entry, and customer communication
• Contribute to Continuous Improvement - Identify opportunities to improve dispatch efficiency, customer satisfaction, or documentation accuracy and share with the wider team

Desired Skills & Experience:

• Proficiency in Microsoft Office (Word, Excel, PowerPoint)
• Experience/awareness in dispatch, logistics, or international shipping -advantageous
• Familiarity with CRM systems or sales order processing -preferred but not essential
• Interest or experience in international trade compliance -a plus
