Estates Administrator Location: Northampton Pay rate: £14.00 per hour Hours: 40 hours per week Working pattern: Monday to Friday Duration – 6 months, immediate start
The role We are looking for an organised and proactive Estates Administrator to support the day-to-day administration of a busy site in Northampton. This is a varied role combining estates and facilities administration with finance-related duties. The successful candidate will ideally have a finance or accounts administration background, alongside some knowledge of estates, facilities management, maintenance or property services. You will work closely with the site team, contractors and suppliers, ensuring that financial records, maintenance information and general administration are kept accurate and up to date.
Key responsibilities
Raising and processing purchase orders. Checking, coding and processing supplier invoices. Investigating invoice queries and liaising with suppliers and internal finance teams. Maintaining accurate records of expenditure, budgets and outstanding costs. Supporting month-end processes, including accruals and financial reporting. Updating estates, facilities and maintenance records. Logging and monitoring maintenance requests through the relevant systems. Liaising with contractors and suppliers regarding scheduled and reactive works. Keeping contractor, compliance and site documentation up to date. Producing spreadsheets, reports and general management information. Supporting meetings, taking notes and following up on agreed actions. Responding to telephone and email enquiries in a professional and timely manner. Providing general administrative support to the wider site team. About you
Previous experience in finance, accounts or purchase ledger administration. Some knowledge or experience of estates, facilities management, maintenance or property services. Confident processing purchase orders and invoices. Comfortable working with figures and maintaining accurate financial records. Good working knowledge of Microsoft Excel, Word and Outlook. Strong organisational skills and excellent attention to detail. Able to manage competing priorities in a busy working environment. Confident communicating with colleagues, contractors and suppliers. Proactive, reliable and comfortable working independently as well as part of a team. What’s on offer
