Job Description
Responsibilities:
The Events & Office Coordinator works closely together with the HR Team and is focused on organising Team events and activities as well as collaborating with the Office Manager on projects related to the office and covering the days of absence.
The Events & Office Coordinator will be responsible for Events in Malta Office which includes but is not limited to:
Organising various Office Social Events, Team Events, Team Building Activities during the office and outside of office hours
Participating in organising Meetups, Tech Talks and other community events in collaboration with the DevRel Manager and other team members
Acting as a Project Manager for reconstruction, development and preparation of the Office on Level 1 and collaborating with HR, Marketing, Design and other teams involved in this project.
Providing support and actively executing tasks across all HR projects, including but not limited to travel, training, corporate gifts, and team-building activities under the supervision of the HR Project Manager.
Collaborating on continuous development and improvement of Health & Safety processes and providing such trainings for employees, managing office health and safety or fire regulation matters, ensuring appropriate procedures are followed and updates given as necessary
Participating in gamification.
The Events & Office Coordinator may also have the opportunity to assist our Marketing Team with brand development and marketing in Malta, including but not limited to:
Assisting with the logistics for Altenar’s sponsored events
Identifying local opportunities for community involvement and support
Involvement in organising corporate hospitality events

The Events & Office Coordinator will also work closely with the Office Manager and cover during the days of absence:
Managing office supplier relationships and ensuring delivery of services
Maintaining the office environment ensuring the comfort of staff and that office policies and procedures are followed
Greeting visitors to the office, ensuring they are signed in and notifying our staff
Answering phone calls and taking messages on behalf of staff
Dealing with staff requests for facilities or equipment in the office
Dealing with any office maintenance matters
General office duties such as the receipt and distribution of post, shredding, filing and other ad-hoc tasks as required by the management team
Skills:
A practical and proactive mindset with a common sense approach
Ability to operate in a fast paced environment, dealing across multiple jurisdictions and cultures
A clear and confident communicator
Previous working experience within a related position would be an asset
