Job Description - Events Intern

Reporting to:
Day-to-day: Ashley Hainer, Senior Project Coordinator
General: Lizzy Eaton, Director

Internship period:

June-September 2024, possibility to be made permanent upon completion of the internship.

Salary and hours:

£21,510 per annum, pro rata
Full-time, 37.5 hours per week. There will be the occasional early start and late evening, when events are taking place. Domestic travel may be required from time to time.

Location:

Flexible working, with three compulsory days in the Central London office (Zone 1 near Tottenham Court Road station). Please note you will be required to come to the office every day for your first two weeks while you settle into the role, and during event prep periods.

Candidates will be shortlisted and interviews will take place on Tuesday 4th June, which will include a short assessment task. Candidates will be notified of the decision by Friday 7th June.
The selected candidate must be available to start on Monday 17th June.

The Company
Oddity Events and Marketing is an independent, award-winning event management agency. We specialise in helping communications, public affairs, and advocacy teams deliver events with personality, in order to influence public policy and drive social change. Our clients include global charities and corporate businesses including Asthma + Lung UK, Cancer Research UK, B-Lab UK, Global Witness, Sanofi, Strava, and Visa.

Purpose of the Role
This role is for an organised, proactive, and creative person, with strong communication and time management skills. They must have the ability to support the team across multiple concurrent projects with tight deadlines. They will be required to:
Work alongside the Oddity team to assist in the delivery of events for our clients
Assist with creating and scheduling marketing content on our website and social media
Support the Senior Events & Operations Manager with business operations tasks including diary management and office management
Coordinate internal and external meetings with clients and suppliers
Coordinate team incentives including away days and social outings

General Duties
Assist with day-to-day administration of events, including creating and distributing invitations, monitoring and responding to emails, reporting on attendee registrations, keeping meeting notes, and updating project plans with rolling actions.
Attend client meetings with the project teams, take notes, and follow up on all tasks
Provide ad-hoc support as required by the wider team
Support with developing new business proposals, including gathering quotes from venues and suppliers
Schedule and attend venue site visits, supplier demos, and industry events

Essential Skills, Knowledge & Experience
Excellent spoken and written English
Knowledge and experience in using email applications
Knowledge and experience in using word processing and spreadsheet applications
Highly organised with good time management skills
Attention to detail is essential within this role
Ability to work with and without supervision
Proactive with finding solutions, problem solving and offering support
Comfortable working remotely but can communicate effectively about their progress on assignments, workload and priorities
Flexibility and willingness to go above and beyond

Further skills, not necessary but an advantage:
Knowledge and experience in using Google Drive
Knowledge and experience in using Canva
Interest in politics or social and contemporary issues
