Wessex Grove is a dynamic, premier trans-Atlantic theatrical production company operating at the highest level across London and New York. In just a few short years, we have grown into a highly prolific, fast-paced production office celebrated for delivering critically acclaimed and commercial West End and Broadway theatre.


Our portfolio includes Olivier Award-winning revivals and star-studded modern productions such as Thomas Ostermeier’s The Seagull starring Cate Blanchett (Barbican), Vanya starring Andrew Scott (West End & New York), Cabaret (West End & Broadway), Sunset Boulevard, and a site-specific touring production of Macbeth starring Ralph Fiennes and Indira Varma. With multiple major new productions opening over the next year across our trans-Atlantic landscape, we continue to shape the theatrical landscape from our vibrant office on Charing Cross Road.


About the Role


We are seeking a highly proactive, ultra-organised, and collaborative Executive Assistant to join our close-knit, high-energy team. In this pivotal role, you will provide comprehensive administrative and business support directly to our Senior Management Team (SMT), consisting of our two co-founding Producers and Executive Director.


This position offers a rare behind-the-scenes window into commercial theatre production. You will act as a central pillar of our busy London workspace, maintaining operational efficiency, managing high-profile industry relationships, and seamlessly working alongside our production teams to ensure our shows are mounted to the absolute highest artistic and financial standards.


Key Responsibilities:



  • Executive Support & Inbox Management: Manage complex email correspondence for the Producers, fielding inquiries from prominent industry professionals, artists, and international investors, and drafting responses.

  • Sophisticated Diary Management: Serve as the primary point of contact for the SMT calendars, proactively resolving schedule clashes, booking external venues, and prioritising urgent business needs to optimise their time.

  • Meeting Coordination: Prepare agendas, compile meeting papers, and attend key internal and external sessions to write and distribute precise, timely minutes.

  • Personal Administration: occasional personal tasks for the SMT including errands and management of personal appointments in diaries.

  • Guest & Ticket Relations: Warmly greet high-profile visitors to our office and coordinate house seat allocations and guest ticketing requests directly with box office teams.

  • Travel & Logistics: Arrange comprehensive domestic and international travel, itineraries, and accommodations for the SMT, aligning with trans-Atlantic production schedules (including New York).

  • Financial Administration: Oversee expense tracking, company credit card processing, Soldo receipts, and vendor invoices related to the SMT, operating diligently within budgetary constraints.

  • Office Operations: Take full ownership of making our workspace a welcoming environment, including monitoring stationery, refreshments, and furniture, while keeping our digital and social media platforms regularly updated.

  • Producing Support: Actively collaborate with the wider creative team and seamlessly deputise for Production Assistants during absences to keep show pipelines moving forward.


Please note this role may involve travel to New York, and is based full time in a first floor office in central London with dogs often present.

Essential Skills & Experience:



  • Proven EA/PA Track Record: A minimum of two (2) years of professional experience as an Executive or Personal Assistant.

  • Flawless Communication: Outstanding written, verbal, and numerical skills, with an exceptional eye for detail, accurate record-keeping, and professional presentation.

  • Advanced Technical Competence: Complete proficiency in Microsoft Word and Excel, with a strong capability to manage spreadsheets and format high-level documentation.

  • Logistical Efficiency: Extensive experience coordinating intricate multi-participant meetings, events, and complex international travel itineraries.

  • Discretion & Diplomacy: Absolute tact when managing confidential business, legal, and financial information involving high-profile talent and stakeholders.


Desirable Skills & Attributes:



  • A Background in Creative Sectors: Prior direct experience working as an Executive Assistant within the theatre or live entertainment industry.

  • Digital Savvy: Comfortable coordinating basic content updates on company websites and managing brand social media channels.

  • Financial Aptitude: Familiarity navigating digital receipting software (such as Soldo) and working comfortably within set company budgets.
