We particularly welcome applications from those currently under-represented in the arts sector. What you will do: The Executive Assistant to the CEO will play a critical role in ensuring the smooth operation of executive functions. This role requires a high level of professionalism, confidentiality, and the ability to manage multiple tasks efficiently. The ideal candidate will be detail-oriented, proactive, and possess excellent communication and organisational skills.Your key areas of responsibilities: ·

Manage and maintain the CEO’s complex calendar.·

Schedule and coordinate meetings, appointments, and travel arrangements.·

Ensure timely reminders and updates for all scheduled activities.·

Prepare agendas, presentations, and board documents for meetings, making sure the CEO is well briefedahead of any meeting. ·

Coordinate and organise materials needed for meetings, ensuring all participants have the necessary information in advance.·

Attend some meetings, take detailed notes, and track action items for follow-up.·

Handle incoming and outgoing communications, including emails, phone calls, and correspondence.·

Manage and prioritise the CEO's tasks and projects.·

Maintain and organise confidential files and records.·

Project Coordination: Assist in the planning and execution of special projects and initiatives.·

Arrange and coordinate travel itineraries, accommodations, and logistics.·

Prepare travel expense reports and ensure timely reimbursement.·

Provie “gatekeeper” and “gateaway” role, providing a bridge for smooth communication between the CEO, the employees and tenants.·

Facilitate communication and collaboration across the executive team.·

Ensuring email lists, org charts, team documents etc are maintained and current.·

Occasional support to the CFO.What’s good to have:Minimum of 3 years of experience as an Executive Assistant, preferably supporting C-level executives.Exceptional organisational and time-management skills.Strong written and verbal communication skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.Ability to handle sensitive information with discretion and maintain confidentiality.Proven ability to work independently and as part of a team.High level of professionalism and attention to detail.Knowledge of the art and culture worlds, especially contemporary art – both public and commercial contexts.What you’ll get: ·
