We are seeking a highly capable, proactive Executive Assistant to provide comprehensive support to the Founder and Managing Director. This pivotal role requires excellent organizational skills, discretion, and the ability to manage a wide range of administrative, operational, and strategic support tasks. You will be the right hand to the MD, enabling effective time management, stakeholder engagement, and smooth business operations across Birch Faraday’s portfolio
Role Responsibilities
- Manage the MD’s complex and often shifting diary, prioritizing meetings and ensuring efficient use of time.
- Oversee all email and correspondence management, drafting responses and flagging urgent matters.
- Coordinate internal and external meetings, including preparing agendas, briefing materials, and follow-ups.
- Support business development and investor relations activities, including event planning and communication.
- Prepare, proofread, and format presentations, reports, and confidential documents.
- Assist with travel planning and logistics, managing complex itineraries domestically and internationally.
- Act as a key liaison between the MD, internal teams, portfolio company leadership, and external stakeholders.
- Manage ad hoc projects and research requests as needed to support strategic initiatives.
- Handle confidential and sensitive information with the utmost discretion and professionalism.
- Support basic financial administration, including expense processing and invoice tracking.
- Identify opportunities to streamline processes and improve communication workflows.
- Occasionally represent the MD in meetings or correspondence when appropriate.
Skills and Experience
- Exceptional organizational skills with an ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills, with a high level of professionalism.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and digital calendar systems.
- Experience coordinating complex schedules and managing travel arrangements.
- Ability to anticipate needs, exercise sound judgment, and work independently with minimal supervision.
- Discretion and integrity handling confidential and sensitive information.
- Proactive mindset with a solution-oriented approach in a fast-paced entrepreneurial environment.
- Comfortable working flexibly and adapting to changing priorities.
