Job Description - Executive Assistant UK861962/LI

We are seeking a highly organized and proactive Executive Assistant to support our 2 key senior leaders in the organisation. This is a full-time role and will be based in the office 5 days per week.

Reporting to the Office Manager and operating as part of a small team of EA's, the successful candidate will be responsible for managing calendars, coordinating meetings, handling correspondence, and performing various administrative tasks. The Executive Assistant will play a crucial role in maintaining effective communication within the office and with external stakeholders.

Responsibilities:
1. Manage the Office Manager's calendar, schedule appointments, and coordinate meetings, ensuring efficient use of time and resources.
2. Prepare and distribute meeting agendas, take accurate minutes, and follow up on action items to ensure timely completion.
3. Handle incoming and outgoing correspondence, including emails, letters, and phone calls, and respond to inquiries or redirect them to the appropriate person.
4. Prepare and edit documents, reports, presentations, and other materials as required.
5. Assist in organizing company events, conferences, and team-building activities.
6. Coordinate travel arrangements, including booking flights, accommodations, and transportation for the Office Manager and other team members as needed.
7. Maintain and update office records, databases, and filing systems, ensuring accuracy and confidentiality.
8. Assist in the preparation of financial reports, budgets, and expense tracking.
9. Collaborate with other departments and team members to ensure effective communication and coordination of tasks.
10. Perform general administrative tasks, such as ordering office supplies, managing office equipment, and handling incoming and outgoing mail.

Requirements:
1. Proven experience as an Executive Assistant, Personal Assistant, or similar role.
2. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
3. Strong written and verbal communication skills, with exceptional attention to detail.
4. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
5. Ability to handle sensitive and confidential information with integrity and discretion.
6. Strong interpersonal skills, with the ability to build and maintain professional relationships at all levels.
7. Proactive and resourceful, with the ability to anticipate needs and take initiative.
8. Ability to work independently and collaboratively in a fast-paced environment.
9. Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
