Job Title: Executive Assistant / Executive Administrator Location: London Contract: Contract until 1 May 2027
Summary We are seeking an experienced Executive Administrator / Executive Assistant to provide high-level administrative support to senior stakeholders and leadership teams. This position requires a highly organised individual with excellent communication skills, strong attention to detail, and the ability to manage multiple priorities within a fast-paced environment. The successful candidate will play a key role in ensuring the efficient operation of the office while handling sensitive and confidential information with professionalism and discretion.
Key Responsibilities
Provide comprehensive administrative support to executives and senior management. Manage calendars, coordinate meetings, and organise travel arrangements where required. Prepare correspondence, reports, presentations, financial documents, and other business materials. Process invoices and support basic financial and bookkeeping activities. Maintain filing systems, records management processes, and office documentation. Review and prioritise incoming communications, reports, and requests, ensuring timely distribution and follow-up. Organise board, committee, and departmental meetings, including agenda preparation and meeting logistics. Liaise with internal and external stakeholders, acting as a professional point of contact. Ensure confidential and sensitive information is managed appropriately at all times. Coordinate office administration activities and support wider business operations as required.Key Skills & Experience
Excellent verbal and written communication skills. Strong organisational, prioritisation, and multitasking abilities. Ability to work independently and effectively manage competing deadlines. High level of discretion and confidentiality. Strong interpersonal and stakeholder management skills. Previous experience supporting senior executives or leadership teams is highly desirable. Experience providing mentoring, guidance, or support to colleagues is advantageous. Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.Qualifications
High school diploma, GED, or equivalent qualification required. Minimum of 5-7 years' experience in an Executive Assistant, Administrative Assistant, or similar role. Previous experience supporting executive-level stakeholders is strongly preferred.
