Job Description
The Facilities and Safety Coordinator leads the Facilities and Safety team. The Coordinator manages all third-party relationships related to facilities and safety; strategizes and centralizes systems and procedures across IGF locations; oversees facility and workplace safety compliance with relevant regulations and internal best practices; facilitates training and certifications where applicable; and maintains a strong external network. The Coordinator also specializes in enforcing appropriate workflows and document version control.

Duties and Responsibilities
  1. Manage and centralize facility and safety functions across IGF locations
  2. Manage third-party vendor relationships related to safety, facility, and assets
    1. Partner with internal management teams to establish, document, train on, and maintain high-quality external relationships
    2. Contribute to technical aspects of third-party contracts
    3. Assist with negotiating contract terms
  3. Develop and execute budget and strategy to improve business capabilities and performance
    1. Inventory existing, relevant policies and procedures; coordinate reviews and revisions
    2. Verify the technical content of new and updated policies; provide writing and editing support; ensure final written documents meet applicable document standards
    3. Collate new policies and procedures with existing documents; assist with organizing and managing IGF’s SharePoint library
    4. Participate in training IGF staff on new initiatives, implementations, policies, and procedures
  4. Lead the Facilities and Safety team to ensure safe, clean, compliant, and functional work environments across locations
    1. Manage the planning, design, and implementation of additions, deletions, and major modifications to facility and safety infrastructure in all locations
    2. Monitor requirements and compliance with preventative maintenance and safety regimes required by IGF internal policies and procedures, OSHA, and other regulator codes and regulations
    1. Implement compliant safety and security protocol and practices
    2. Coordinate with branch, department, and team leaders to prioritize, schedule, and conduct facility and safety policy and procedure training
  1. Organize and centralize facility and safety compliance across IGF locations
  1. Maintain an organized library of code manuals for all equipment; consult manuals and confer with the Facilities and Safety team, Director of Operations, and the branches on new installations and any installations that require electrical, mechanical, or logistical oversight
  2. Conduct needs analyses by location to identify areas of noncompliance related to facility and workplace safety
  3. Strategize and implement centralized response strategies
  4. Collaborate with team members on projects to identify, evaluate, and support companywide adoption of best practices
  1. Responsible for the development and performance management of the Facilities and Safety department
  2. Perform other duties as assigned
Qualifications (Required)
  •   Project management experience or skills
  •   Previous policy, procedure, or other technical writing experience
  •   Flexible to accommodate other perspectives
  •   Research-oriented: able to obtain provincial information on laws, ordinances, and regulations; familiar with technical specifications, operating procedures, and compliance requirements
  •   Able to make independent decisions based on known criteria
  •   Able to establish and maintain relationships with stakeholders, vendors, and subject matter experts to ensure accurate and compliant output
  •   Proactive, quick-thinking, problem-solving approach to work
  •   Ability to work independently or as part of a team, changing gears when required, whether multitasking or adapting working hours
  •   Creative; open to new ideas and concepts
  •   Excellent analytical, communication, organization, and data-entry skills with keen focus on relationship building across branches and departments
  •   Strong attention to detail and written, verbal, and interpersonal communication skills
  •   Proficiency in M365, especially Excel, Forms, Outlook, Planner, SharePoint, Teams, and Word
Qualifications (Preferred)
  •   Education in a writing-intensive field (e.g., English, Communications, Political Science, etc.)
  •   Bilingual communication skills

  •   Must be able to sit at a desk and work on a computer for prolonged periods of time
  •   Must be able to access and navigate every department within the organization
  •   Must be able to bend, lift (at least 35 lb.), stretch, and climb (including ladders)
  •   Must be able to sustain prolonged periods of standing and walking
  •   Must be able to work across temperature zones (dry/refrigerated/frozen)
  •   Requires bending, sitting, standing, walking, use of hands, arms, legs, eyes, and voice
