Job Title: Facilities Co-Ordinator

Location: Littlemore Mental Health Centre, OX4 4XN – must be a car driver and be able to travel to multiple sites occasionally for emergency cover

Hours: 37.5 hours per week – Monday – Friday 8am – 4pm

Role type: Temporary for 3 – 6 months with possibility of becoming permanent

Role details

To supervise housekeepers and porters in their designated hub including conducting return to work interviews, one to one supervision and local management of work performance

Duties & responsibilities

* To deal with day-to-day staffing issues whilst escalating any staffing issues requiring more formal approach to Facilities Support Manager

* To provide training in Waste/food/COSHH and H & S as per legislation to ward managers/clinical and ancillary staff.

* To liaise with senior housekeepers on a weekly basis to ensure rotas are adequate to meet the needs of the service and identify any gaps to the Facilities Support Manager.

* To be responsible for identifying any gaps in staffing levels and arrange agency or appropriate cover.

* Be prepared to provide cover for catering provision on the wards in the event of shortage.

* To be responsible for managing and recording all domestic and porter mandatory training to include the booking and providing of this information to the departmental dashboard.

* To arrange for the Trust and local induction for all new starters within the team

To be responsible for recording the domestic and porter annual leave and sickness

* To be responsible for collating all timesheets in a timely manner and to complete the turnaround document and ensuring accuracy at all times

* To assist staff with any payroll issues

* To be responsible for ordering all consumables for the domestic and porter teams

* To assist senior housekeeper with the provision of COSHH data sheets to update manual in all cleaning areas

* To assist Facilities, Support Manager in audits as and when required

* Co-ordinate patient surveys with ward managers and collate results to provide information for the

* dashboard and board reports

* Processing order and reconcile with invoices using the E-proc system (or other Trust system in use at any time, identifying and resolving, where possible queries or anomalies in liaison with suppliers and the Finance department as necessary, and meeting payment targets

* Arrange housekeeping meetings and provide minutes and ensure follow up action is completed.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

* Knowledge of COSHH

* Reliable and organised paying attention to detail, with excellent interpersonal skills

* Strong administration skills
