Job Description - Financial Administrator £28,000 - £35,000 Westerham, Kent Full-Time, Office-Based

Ready to take your admin career to the next level in a warm, supportive financial advice firm?

We’re on the hunt for an experienced Financial Administrator to join our friendly, professional team based in beautiful Westerham, Kent. With over 35 years of helping clients across Surrey and Kent, we’re proud of our down-to-earth culture, collaborative spirit, and commitment to doing things the right way.

This is your chance to become a key part of a growing advice team, working alongside four Financial Advisers and expert paraplanners. If you're organised, proactive, and love keeping things running smoothly — this could be your next great move!

?? What You'll Be Doing

  • ?? Managing Letters of Authority (LOAs) from start to finish — submitting, tracking, and chasing with providers
  • ?? Keeping client records up to date in Intelligent Office (our CRM system)
  • ?? Gathering vital info on client pensions, ISAs, and plans so our advisers can shine
  • ?? Supporting clients and advisers on provider portals and platforms
  • ?? Coordinating annual reviews — scheduling meetings, prepping reports, and packs
  • ? Overseeing new business applications, withdrawals, drawdowns, and fund switches
  • ?? Handling correspondence, client servicing, and provider liaison with care
  • ?? Greeting clients for face-to-face meetings and keeping diaries in check
  • ?? Answering calls and supporting day-to-day office admin

?? What We’re Looking For

  • ?? Experience in a financial planning or IFA admin role (essential)
  • ?? Knowledge of pensions, ISAs, platforms, and client servicing
  • ?? Confident using provider portals & back-office systems like Intelligent Office
  • ?? Meticulous attention to detail & brilliant time management
  • ?? A proactive, can-do attitude and a team player at heart
  • ?? Happy in a small but busy, client-focused office
