Previous experience of office H&S practices g., fire safety procedures

Role Purpose:
To carry out office and administration duties across the Group (currently Bluefield Partners LLP, Bluefield Services Ltd, Bluefield Operations Ltd, Bluefield Italia Srl and Bluefield Renewable Developments Ltd), enabling personnel to operate safely and efficiently.
This role is focused primarily on the Bristol office, but with close collaboration and support to the London office when required.
Duties and Responsibilities:
Welcoming visitors to the office – offering and making refreshments
Answering telephone calls for the mainline company number or responding to emails form the website.
Order stationery and sundry office supplies
Office access software management, including production of office swipe cards and upholding of site security procedures, providing training to staff as necessary on new procedures – working with Group Office Operations Manager
Responsible for booking Group-wide travel including flights, trains, accommodation and car Provide training on TravelPerk for new starters.
Book training courses for staff in line with training budgets and log on Bamboo.
Order PPE and workwear for employees and maintaining register
Carry out office new starter inductions
Manage event logistics and planning e.g., Christmas and Summer parties – working with the Group Office Operations Manager, in coordination with HR, Marketing etc
Taking minutes at Manager meetings (as required)
Setting up and re-setting meeting Booking any external meeting rooms for away days.
Ordering refreshments (lunch, dinners) for meetings and staff events
Other ad hoc administrative tasks such as formatting documents, scheduling team meetings etc
Any other reasonable task as requested by a Manager or Director of the business
Administration tasks for the Bluefield foundation such as assisting with booking volunteering days and organising fundraising events.
Arranging for any postage or couriers for departments.
On-site management of H&S procedures
On-site management of fire safety drills
Support activity relating to site security, office vendors and service providers

Hours of Work:
As a professional employee, you will work such hours as may reasonably be required to fulfil your responsibilities and will typically attend the office between the hours of 9.00 and 5.30. Monday - Thursday in office, Fridays can be from home.
