Job Description - Groups Reservations Executive

Description

Millennium Gloucester Hotel London Kensington is seeking a Groups Reservations Executive, responsible for managing all incoming group accommodation enquiries, preparing accurate rate quotations subject to availability, and maximising Rooms Revenue. The role also involves maintaining precise and comprehensive records of all group bookings and proactively identifying every opportunity to optimise revenue potential for the hotel.

Key Responsibilities of the Groups Reservations Executive include:

  • Responding promptly and professionally to all incoming group enquiries, providing accurate, detailed, and competitive quotations.
  • Making informed decisions on the acceptance or rejection of group bookings based on rate strategy, availability, and revenue optimisation.
  • Demonstrating full proficiency in the operation, functionality, and standards of the OPERA reservations system.
  • Accurately inputting all group reservations into OPERA, ensuring complete and correct details in line with departmental standards.
  • Maintaining a rolling monthly overview of all incoming groups, options held, and tentative bookings to ensure accurate inventory management.
  • Liaising closely with Sales, Revenue, and Front Office teams to ensure seamless communication and delivery of group requirements.
  • Supporting the Reservations Manager in monitoring group pick-up, forecasting, and revenue opportunities.

Experience & Qualifications:

  • Exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills, with the ability to engage confidently across all levels of the organisation.
  • Strong organisational skills, with the ability to prioritise and manage multiple tasks simultaneously.
  • A proactive approach, with the ability to handle unexpected situations and last-minute changes effectively.
  • Ability to manage sensitive and confidential information with professionalism.
  • Previous experience in hotel reservations or groups coordination is advantageous, particularly within a large hotel environment.

The successful candidate will be:

  • Enthusiastic, self-motivated, proactive, and resourceful, with a strong eye for detail.
  • Skilled in presentation, negotiation, and communication, with the ability to build strong relationships with clients and internal departments.
  • A collaborative team player.
  • Able to work efficiently under pressure in a fast-paced environment.

About the Hotel

The Millennium Gloucester Hotel London Kensington is an impressive 4-star deluxe property located in the heart of Kensington, just moments from Gloucester Road Underground station, offering excellent connectivity across London.

The hotel features 610 spacious guest rooms and a diverse selection of dining options, including the popular Humphrey’s Café & BarSouth West 7, and the renowned Bombay Brasserie.

The hotel also houses the Millennium Conference Centre, offering 26 versatile function rooms across 1,600m², accommodating up to 600 delegates. The stunning conservatory, complete with palm trees, a piano, exclusive bar area and dance floor, can host up to 300 guests.
