An Administrative opportunity for a person who has had exposure in planning
Supporting and coordinating for internal teams
The Role
Our client is looking to expand their operations team. This role offers the opportunity to play a vital part in keeping schedules running smoothly and ensuring seamless communication between teams, customers, and external partners.
About the Role: You’ll be at the heart of the operations and planning function, helping to coordinate materials, schedule production, and ensure all bookings and installations are completed on time. Your ability to multitask and keep things running efficiently will directly contribute to customer satisfaction and the overall success of the team. This is a 12 month fixed term contract.
Key Responsibilities:
Respond to customer, supplier, and internal team enquiries via phone and email
Maintain inboxes and update systems with accurate information
Use planning tools and internal systems to schedule work, materials, and resources
Issue job instructions to the factory and highlight any potential bottlenecks
Liaise with internal teams and subcontractors to manage bookings and installation timelines
Monitor job progress, flag issues, and proactively resolve delays or complications
Maintain up-to-date records of all planned and completed work
Support scheduling and coordination of deliveries, installations, and accessories
Act as a key communication point between planning, production, and customer service teams
Attend and organise meetings as required
What We’re Looking For:
Previous experience in an administrative or planning role
Exceptional organisational and multitasking abilities
High attention to detail and accuracy
Strong communication skills, both written and verbal
Proficient in MS Excel, Word, Outlook, and internet-based systems
Able to work under pressure and meet deadlines in a fast-paced environment
A proactive, can-do attitude with a willingness to learn and take initiative
Team player who enjoys collaboration and supporting others
Desirable (But Not Essential):
Previous experience in a scheduling, planning, or coordination role
Familiarity with workforce planning or resource management tools
A background in customer service or field operations coordination
