Job Description - Junior Assistant to Director of Operations

Junior Assistant required to provide support to The Director of Operations (DOP) at a leading talent management agency in Chelsea.

This role presents an exciting opportunity to work with high-profile speakers, artists and experts in exciting and diverse environments; from local events to international music festivals, conferences and summits.

The ideal candidate for this position will excel if they can work well in a high pressure environment shadowing the DOP and supporting him with his everyday responsibilities to allow him to focus on his work associated with the management of company operations and staff. Candidates should have some relevant experience to the role that highlights their capability to conduct all administrative work, in an effective and organised manner.

A successful candidate would be a focused and detail oriented problem solver. This will be someone who aspires to grow within the business and learn about the functions, roles and dynamics of an established Talent Management Agency.

We are looking for someone who is passionate about the arts, entertainment and music industries. Ideal candidates are tenacious, creative and highly organised.

Responsibilities:

Shadowing the DOP, learning how he works and providing support in order to allow him to manage the day to day operations of the Business.
Managing the DOP email accounts and streamlining his communications both internally and externally
Acting as a gatekeeper to the DOP, fielding, prioritising and, where possible, handling all communications so that his time is used in the most productive way possible.
Using initiative to solve problems as they arise, or before they do.
Organising the diary and arranging all logistics relating to this such as transport, booking of restaurants/meeting spaces etc.
Creating detailed itineraries for international travel for both the DOP and high profile talent for events.
Manage ad hoc projects, events and often taking the ideas of the DOP and managing them to fruition.
Interacting and communicating with high-level corporate organisations and high-profile individuals in a professional manner, acting as an extension of the DOP himself.
Assisting the DOP with the company procedures such as organising meetings, training days, team bonding activities etc. and also coordinating the development strategy for the company.
Handling calls and communications appropriately, in a professional manner and making sure that messages, information are effectively noted and passed on to the DOP or correct members of staff/directors.
Organising travel and logistics for Kruger Cowne Talent and the DOP, making sure to communicate between all involved parties.
Working closely and effectively with the DOP and other Directors to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
Helping to managing the DOP's calendar of appointments, composing, and preparing confidential correspondence; arranging detailed travel plans, itineraries, and agendas, compiling documents; and ensuring schedules are followed precisely.
Prioritising urgent matters and proactively managing any conflicts efficiently and effectively, and following-through on projects until successful completion often with deadline pressures.
Helping to manage communication between the DOP and the Kruger Cowne team; promoting team work and collaboration.
Working on some special projects.

Key Skills and Requirements:

The ability to work under pressure, to handle a wide variety of activities and confidential matters with discretion
Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
Proficiency in using a Mac and Microsoft Office Suite
Very strong interpersonal skills and the ability to build relationships with stakeholders, including the Directors, staff, talent and customers
High level of written and verbal communication skills
Demonstrated proactive approaches to problem-solving with strong decision-making capacity
Able to communicate confidently and clearly
Highly resourceful team-player whilst extremely effective independently
Proven ability to handle confidential information with discretion and be adaptable to various competing demands

Hours of work:
09:30 to 17:30 per standard working week or such other additional hours as may be required, within reason, from time to time.

Kruger Cowne conducts business internationally and operates across multiple timezones. Therefore support may occasionally be required outside of traditional UK working hours.

Remuneration:
Salary for the Junior Assistant role will range from 20-24k per annum based on previous experience.
