Job Description - Junior Personal Assistant

Owen Reed is looking to recruit a Junior Personal Assistant to provide proactive and professional administrative and general support to a PA for a top law firm in London.

Purpose

To provide high-quality administrative and organisational support, assisting a PA in delivering an exceptional service to lawyers and clients.

Key Responsibilities
  • Answering the telephone: taking accurate messages, transferring calls appropriately, and following up as necessary.
  • Running errands: coffee or sandwich runs, ad hoc stationery purchases, researching/purchasing gifts or birthday cards, delivering files/papers to lawyers at Court, greeting visitors, and directing deliveries.
  • Photocopying, printing, and creating bundles.
  • Scanning and manipulating PDFs.
  • File management: hard copy filing, e-filing, indexing, archiving, and maintaining accurate records at all times.
  • Maintaining contacts database and managing contact lists.
  • Processing expenses.
  • Printing emails.
  • Entering timesheets.
  • Audio and copy typing.
  • Assisting with travel arrangements, including drafting itineraries, booking restaurants/hotels, and confirming reservations.
  • Assisting with ad hoc projects.
  • Helping out with the wider PA team and reception when required.

  • Enjoys working as part of a team.
  • Keen learner, active listener, helpful, courteous, and professional.
  • Punctual, reliable, and discreet.
  • Thrives under pressure.
  • Willing to "muck in" where necessary.
  • Approachable, with the ability to naturally build strong, positive relationships.
  • Happy to complete more routine tasks when required.
Skills and Experience
  • 1–2 years’ legal administrative or PA work experience.
  • Excellent English language and grammar skills.
  • Proficient in Word, Outlook, PowerPoint, and Excel (experience with iManage and MS Teams advantageous).
  • Strong internet research skills.
  • Excellent attention to detail.
  • Professional and courteous telephone manner.
  • Advanced communication skills, both oral and written.
