Job Description - Legal Operations Advisor

Job Description

This is a fixed term opportunity to cover maternity leave for up to 12 months.

Salary - £30,685 - £36,100 depending on skills & experience.

Location is flexible – West Cumbria or Warrington.
Hybrid working available with 40-60% of time in an NDA office.

Closing date is 19 June 2024.

The Role:
Reporting to the Legal Operations Manager, this role supports the legal team within the Office of the General Counsel. This role would suit a candidate who has a positive and pro-active approach looking to gain experience in Legal Operations working in a in a supportive and friendly team.

The role provides administrative support specific to the legal team, including:

Supporting Legal Operations and Finance Management

Supporting the legal operations manager to manage external legal counsel and the legal supply chain e.g.

Issuing instructions and billing approvals, requesting monthly accruals data from the panel law firms.
Raising purchase orders for legal projects, team events and training.
Ensuring that invoices are drafted correctly and processed to the supply chain finance department in a timely manner.
Inputting purchase orders and invoice data into the legal dashboard, tracking spends and supplying the data to the Legal Operations Manager, filing relevant information onto the ‘Livelink’ system.
Liaising with the supply chain finance department to set up regular meetings to compare and discuss the teams spends, remittance and review the current position on the data.
Overseeing the Office of the General Counsel general budget and spend including providing the interface between legal and the finance / procurements teams and managing SAGE inputs,
Supporting the development and maintenance of the legal team’s intranet site,

‘Legal Front Door’ , providing the interface between the legal team and the wider organisation,
Supporting the development of new technical solutions within the team
Supporting the development and roll-out of legal risk management training across the NDA and assistance with creating slides and information packs.

Assistance with Contract register

Providing contract register support for commercial and real estate projects.
Assisting with the execution of contracts, by processing electronic contracts through DocuSign and affixing the NDA company seal when required.
File management of electronic copies onto the contract register as well as storing the hardcopies in the secure room.

Legal Administration Support

Providing support on the NDA Group Litigation and Dispute report by collating data from previous reports, obtaining updated data from each Operating Company in the group and in preparation for submission to the NDA Board.
Drafting emails and sending out correspondence on behalf of the instructing lawyers.
Coordinating team meetings with external parties and assisting with workshop and event planning.
Managing internal and external post.
Monitoring the legal inbox daily by ensuring requests are actioned. Bringing important matters to the attention of the legal operations manager as applicable.
Providing general administrative support to the wider legal, corporate governance and ethics & compliance teams.

Knowledge, Skills and Experience required:
Experience of working in a team environment is preferred.
Some experience of finance management preferred.
