Mailroom & Porterage Manager

We are looking for an experienced Mailroom & Porterage Manager to lead mailroom, porterage, courier and distribution services across multiple sites within a secure and highly regulated environment.

Key Responsibilities

Lead and manage a multi-site team of mailroom operatives and porters, including rotas, training, performance and workforce planning.

*

Oversee all inbound and outbound mail, parcels, couriers and internal distribution, ensuring agreed service levels are met.

*

Manage porterage operations, internal moves and the movement of furniture, equipment, records and supplies.

*

Oversee the secure handling, logging, tracking and distribution of confidential, sensitive and accountable items.

*

Manage cash, cheques, valuables and financial documents in line with strict security and audit procedures.

*

Ensure compliance with security protocols, GDPR, data protection, confidentiality and regulatory requirements.

*

Manage mail screening, X-ray operations and suspicious package procedures where applicable.

*

Maintain chain-of-custody procedures and lead incident investigations, audits and corrective actions.

*

Manage courier providers, suppliers, budgets and operational costs.

*

Act as the key operational contact for clients, handling service issues, escalations and regular service reviews.

*

Identify opportunities to improve processes, technology, efficiency and service delivery.

About You

*

Current SC Clearance is essential.

*

Willingness to undergo enhanced security screening, background checks and ongoing vetting.

*

Proven experience managing teams in a security sensitive, highly regulated or confidential environment.

*

Experience within mailroom, porterage, facilities, logistics or distribution operations.

*

Strong understanding of information security, data protection, chain of custody and security incident reporting.

*

Excellent leadership, organisational and stakeholder management skills.

*

High level of discretion, professionalism and confidentiality.

Desirable

*

DV Clearance.

*

Experience within Government, Defence, Financial Services, Critical Infrastructure or secure corporate environments.

*

Experience with mail screening, X-ray equipment and suspicious package procedures.
