This is an excellent opportunity for someone with strong administration, scheduling, or facilities coordination experience who enjoys problem-solving and delivering outstanding customer service. You will play a vital role in ensuring maintenance requests are managed efficiently, contractors are coordinated effectively, and clients receive a first-class service.
The Role
As a Maintenance Coordinator, you will support the day-to-day operation of our Help Desk function, acting as the key link between clients, suppliers, contractors, and internal teams. You will be responsible for managing maintenance requests, coordinating works, updating systems, and ensuring jobs are completed within agreed timescales.
Key Responsibilities
* Managing maintenance requests received via phone, email, and customer portals.
* Logging and updating work orders within the CAFM system.
* Scheduling engineers, contractors, and maintenance appointments.
* Raising purchase orders and processing permits where required.
* Liaising with suppliers and subcontractors to obtain updates and quotations.
* Monitoring job progress and ensuring accurate records are maintained.
* Ensuring completed works are correctly closed and documented.
* Supporting colleagues across the Help Desk team and participating in cross-training activities.
* Taking part in an out-of-hours rota on a rotational basis, with overtime paid for weekend cover.
About You
We are looking for an organised and motivated individual who can manage multiple priorities while maintaining excellent attention to detail.
You will ideally have:
* Previous experience within a Help Desk, Facilities Management, Property Maintenance, Scheduling, or Coordination role.
* Strong organisational and time-management skills.
* Excellent communication skills, both written and verbal.
* Good working knowledge of Microsoft Office, particularly Outlook, Excel, and Word.
* Experience using CAFM systems would be advantageous, although training can be provided.
* A proactive approach and the ability to work both independently and as part of a team.
* Strong customer service and problem-solving abilities.
