We are seeking an organized, technically minded Maintenance Planner to join an operations team. In this pivotal role, you will act as the operational heartbeat of our maintenance scheduling, ensuring that our property portfolio runs safely, efficiently, and in strict compliance with statutory legislation.
Whether you come from a fast-paced Facilities Management (FM) helpdesk background or have hands-on engineering maintenance planning experience, you will use your practical technical knowledge to schedule, coordinate, and track Planned Preventative Maintenance (PPM) and compliance works. You will bridge the gap between field engineers, helpdesk dispatchers, and clients to ensure top-tier service delivery.
Key Responsibilities
*
PPM & Maintenance Scheduling: Proactively plan, schedule, and coordinate all Planned Preventative Maintenance (PPM), servicing, and statutory compliance works across commercial and residential properties.
*
Engineering Resource Allocation: Assign work orders to mobile engineering teams and specialist subcontractors based on trade, technical skill set, geographical location, and priority SLAs.
*
Technical Quality Control: Utilize your technical understanding to review job sheets, asset reports, and engineering notes, ensuring maintenance works meet high standards.
*
Workflow & Helpdesk Coordination: Triage incoming maintenance requests, manage reactive repairs, and ensure seamless communication between clients, tenants, and field technicians.
*
Compliance & Asset Tracking: Maintain accurate digital logs of statutory testing (e.g., Gas Safety, EICR, Fire Alarms, HVAC) to ensure 100% audit readiness and regulatory adherence.
*
SLA & Contractor Management: Monitor schedules to ensure all maintenance tasks and reactive callouts are completed well within agreed Service Level Agreements (SLAs).
What We Are Looking For
*
Relevant Experience: Proven planning and coordination experience gained within either a fast-paced FM helpdesk environment or an engineering maintenance planning/scheduling role.
*
Technical Know-How: A solid understanding of building services, hard FM operations, or core engineering systems (electrical, mechanical, HVAC, or fire & life safety).
*
Planning & Systems Acumen: Exceptional organizational skills with experience managing complex master schedules and computerized maintenance management systems (CAFM / CMMS).
*
Communication Skills: Confident dealing with technical engineers, contractors, and corporate clients alike, with a calm and proactive approach to problem-solving.
*
Compliance Mindset: Strong attention to detail and a rigorous approach to health and safety compliance tracking.
