Job Description - Neighbourhood Administrator

We are currently recruiting for x1 Permanent x2 12 Month FTC Neighbourhood Administrators to join our team in Wakefield. As a Neighbourhood Administrator, you will play a key role in delivering a professional, courteous, and customer-focused service to tenants and visitors. Reporting to the Neighbourhood Coordinator, you’ll provide essential administrative support to the Neighbourhood Management Team, helping to ensure smooth and effective operations. This is a team-oriented role, requiring collaboration and flexibility to meet performance targets and support the overall success of the service. Travel to different locations across the group will be required.

Outline of key responsibilities of a Neighbourhood Administrator...

  • Dealing with office and team contacts (including phone calls with customers & external organisations, tasks, e-mails) offering appropriate help and advice.
  • Referring contacts where necessary to appropriate staff within the company for attention and action and chasing any actions.
  • Responsible for petty cash, ensuring all receipts/balances etc. is accurate and accountable and an adequate amount is maintained.
  • Processing invoices and receipting goods received using Ebis
  • Dealing with the incoming and outgoing post on a daily basis
  • Administration support to the Neighbourhood Co-ordinator and Neighbourhood Manager.
  • Organising and minuting any void meetings and keeping void phases up to date.
  • Photocopying, collating, and scanning documents (e.g., sign-up packs), ensuring accurate electronic filing on Documotive and maintaining an efficient tenancy filing system both digitally and in paper form
  • To assist with the production of statistical information where required for internal and external purposes
  • Liaising with other teams on queries or processes e.g. lettings, development (new development issues), repairs and assets.
  • Where needed dealing with termination of tenancies – acknowledgement to the tenant and on the computer system
  • Arranging customer appointments for Neighbourhood Officers
  • Arranging estate walkabout schedules and tenancy audit visits
  • Make up tenancy packs, prepare new tenancy agreements and including liaising with repairs officers for gas safety certificates & other documents

We are looking for someone who has...

  • Proven experience of providing a comprehensive administrative service in a team environment.
  • To have a working knowledge of Microsoft Office applications, specifically Word, Excel, Outlook
  • Excellent customer service skills

  • Starting salary of  £24,243
  • 27 days holiday (rising to 32 over 5 years’ service) + bank holidays
