FINANCE & COMMERCIAL ASSISTANT

Salary: £29,333 to £31,616 per annum 

Hours: 37.5 hours per week

Working: Hybrid working where appropriate

Grade: GMS Grade B2 (AfC Band 4 equivalent)

Base: Riverside House/ Gloucestershire Hospitals sites

A varied role at the heart of Finance and Commercial

Gloucestershire Managed Services is looking for an organised, dependable and detail-focused Finance & Commercial Assistant to provide shared administrative support across its Finance and Commercial functions.

Working closely with the Associate Director of Finance and Head of Contract Management, you will help ensure that financial administration, contract documentation, meetings, records and day-to-day business support are handled accurately, professionally and on time.

What you will do

• Process and monitor purchase requisitions and support invoice matching, record keeping and the resolution of routine queries.


• Coordinate contracts, variations and signature processes, ensuring the correct documents, versions and approvals are in place.


• Maintain clear electronic files, registers, trackers, action logs and evidence trails that support governance and auditability.


• Provide diary management and coordinate meetings, supplier reviews and workshops, including papers, notes, minutes and follow-up actions.


• Liaise professionally with suppliers, managers, operational teams and other internal and external stakeholders.


• Draft and format correspondence, reports, spreadsheets, presentations and meeting papers to a consistently high standard.

What we are looking for

You will be confident balancing priorities across two busy functions and comfortable working with financial, contractual and commercially sensitive information. You will bring:

• Level 3 education or equivalent relevant experience in finance, business administration, procurement, commercial support or a related environment.


• Experience of administrative support in a busy office, finance, commercial, procurement or contract management setting.


• Experience of requisitions, purchase orders, invoices or similar financial transactions.


• Strong organisation, numerical accuracy and attention to detail, with the ability to plan ahead and meet deadlines.


• Competence in Microsoft Outlook, Word, Excel, PowerPoint and Teams, including maintaining clear spreadsheets, logs and trackers.


• Clear communication skills, discretion and sound judgement about when an issue should be escalated.
