Service Administrator – 10-Month Fixed-Term Contract

Our client is a highly reputable and growing facilities management contractor specialising in comprehensive facilities maintenance services.

Due to continued expansion, they are currently looking to recruit a Service Administrator on a 10-month fixed-term contract to join their team in Chadderton.

The successful candidate will work closely with operational colleagues, engineers, external contractors, suppliers and customers to ensure jobs are allocated effectively, completed within agreed timescales and engineer productivity is maximised.

You will also be responsible for maintaining accurate records, supporting the smooth delivery of service operations and ensuring compliance with relevant company procedures and statutory regulations.

Job Duties

• Assess returned jobs on Asolvi and arrange revisits where required.


• Request uplifts on returned jobs where additional funding is needed.


• Raise purchase orders for goods required to complete works once uplifts have been approved.


• Record proof of delivery information within the POD log.


• Raise purchase orders for engineer van stock requirements.


• Liaise with suppliers and update proof of delivery information on both the relevant log and Asolvi.


• Raise orders for lifting equipment through supplier portals and monitor jobs to ensure equipment is taken off hire promptly.


• Assist with invoice queries.


• Check that client portals have been updated by engineers and make amendments where necessary.


• Upload certificates to client portals where applicable.


• Receive incoming alarm activations and respond in accordance with NSI false alarm management guidelines.


• Raise orders for subcontractors and complete the relevant subcontractor documentation, including MS48 and MS 7.4 forms.


• Vet parts requested by engineers and liaise with them where further clarification is required.


• Update Asolvi with relevant engineer stock replenishment information.


• Process incoming quoted works jobs.


• Complete the daily SLA report.


• Assist with the preparation and processing of quotations where required.


• Work collaboratively as part of the wider team to deliver an excellent service to customers.


• Comply with any other reasonable management instruction or ad hoc duties required by the business.

The Person

The successful candidate will:

• Have previous experience in a service administration, coordination or similar role.


• Ideally have experience within facilities management, maintenance or a service-led environment.


• Have strong Microsoft Excel and general IT skills.


• Be highly organised with excellent attention to detail.


• Be able to manage a busy and varied workload.


• Have excellent written and verbal communication skills.


• Be confident liaising with engineers, suppliers, contractors, customers and colleagues.


• Be able to work effectively both independently and as part of a team.

Package

• 10-month fixed-term contract.


• Salary of £25,468.
