The Role:

Spatone and Nelsons are entering an exciting period of growth, creating an opportunity for this role to support a thriving business and contribute to its continued success. The Office Administration Assistant will provide general administrative support to Managers, helping with day-to-day activities across both production and office functions. You will need to have a friendly, approachable manner and a professional telephone style, coupled with a proactive, hands-on approach with the confidence to take ownership of tasks. We are looking for strong organisational and keyboard skills, with good attention to detail. The ability to work independently and meet strict daily and weekly deadlines, along with a willingness to learn new skills and adapt to changing business needs.

Key Responsibilities:

• General administration duties in including data entry, filing, and organizing documents
• Answering phone calls, responding to emails and directing enquiries to the right department or person
• Scheduling meetings, managing diaries and coordinating team calendars
• Preparing documents, reports, presentations and correspondence
• To organise all site non-stock purchasing requirements ensuring optimal cost, quality and service is obtained
• Raise Purchase Orders for stock and non-stock items
• Processing invoices, receipts and basic expense records
• Supporting travel arrangements, including booking transport and accommodation
• Ordering office supplies and ensuring equipment is stocked and maintained
• Input data from production into ERP system i.e. SAP (training to be provided)
• To act as a first point of contact for service providers (laundry/cleaners/security)
• To assist in the scheduled of training events
• Provide administration support to engineering and warehouse departments as requested
• Assist with event planning and coordination
• Ensure all training relevant to the position and required tasks are completed and kept up to date
• Use assigned initials within cGMP environment (training to be provided)
• All documentation relating to Spatone’s products are kept within Quality Management System (QMS) and adhere to Data Integrity (see POL-002) (training to be provided)
• Understanding and adhering to cGMP environment requirements (training to be provided).

• English and Maths GCSE (or equivalent)
• Competent IT skills
• Ability to work accurately, with attention to detail
• Ability to use own initiative
• Ability to organise, prioritise and deal effectively with a varied workload
• Team player with strong communications skills
• Experience in problem solving

 Bonus if you have

• Experience of an ERP system such as SAP
• Experience of working in a busy, fast paced environment
