Job Description - Office Administrator

About Us



Green Energy Access, part of the rapidly expanding Energise Energy Solutions group, is a fast-growing scaffolding and access services provider set to become a major force in the scaffolding industry.



The Office Administrator ensures the smooth, efficient, and professional running of day‑to‑day office operations. This role supports staff, maintains administrative systems, and acts as a central point of coordination across the organisation.



Key Responsibilities




  • Manage incoming calls, emails, and correspondence.

  • Maintain filing systems (digital and physical).

  • Prepare documents, reports, and presentations.

  • Schedule meetings, appointments, and room bookings.



Office Operations




  • Oversee office supplies, equipment, and inventory.

  • Liaise with suppliers, contractors, and service providers.

  • Ensure the office environment is tidy, safe, and well‑organised.

  • Support onboarding of new staff (desk setup, access, documentation).



Finance & HR Support




  • Process PO's and expenses.

  • Onboarding of new suppliers and sub-contractors and liaise with central finance team.

  • Maintain staff records and support HR admin tasks.



Communication & Coordination




  • Act as the first point of contact for visitors and clients.

  • Coordinate internal communications and circulate updates.

  • Support event planning (meetings, training sessions, team events).



Skills & Competencies 




  • Strong organisational and time management skills.

  • Excellent written and verbal communication.

  • High attention to detail and accuracy.

  • Ability to multitask and prioritise effectively.

  • Proficiency with office software (Microsoft 365, emails, excel).

  • Professional, friendly, and proactive attitude. 



Experience & Qualifications




  • Previous experience in an administrative or office support role.

  • Competence with standard office equipment and digital tools.

  • Basic understanding of finance or HR processes (desirable).

  • GSCE-levels or equivalent; business admin qualifications are a plus.

Benefits




  • Annual leave entitlement of 22 days (extra day per year up to 25 days) plus bank holidays.

  • Monday to Friday, 40 hours per week.

  • Salary is National Minimum Wage.
