We are currently seeking a highly organised and proactive Office Administrator to join our team. The ideal candidate will play a key role in ensuring the smooth running of our office operations. From managing administrative tasks to providing support to our R&D and Equipment teams.
Key Responsibilities: Greet visitors and ensure they are directed to the appropriate person or department. Maintaining office supplies. Create and maintain filing systems, both electronic and physical. Input supplier invoices to our purchasing system Planergy. Upload invoices between our purchasing system and accounting system. Assist with administration of our project management system Coretime, such as setting up new projects and uploading budgets. Organise domestic and international imports and exports. Perform other administrative tasks as assigned. Provide administrative support to team members as needed. Report to the Office Manager and provide support in daily administrative tasks. Handle sensitive information in a confidential manner.
Qualifications and/or Experience Desired: Essential: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with purchasing and accounting systems such as Planergy and SAGE50C. Excellent organisational and time management skills. Strong attention to detail and accuracy. Ability to multitask and prioritise tasks effectively. Desirable: Experience in an administration role would be beneficial. Familiarity with project management systems like Coretime is a plus. Experience in organising domestic and international imports and exports. As our company continues to expand, there is potential for this role to evolve and grow alongside it. Initially, the position requires 16 hours per week, with the possibility of gradually increasing hours as the company develops should the successful candidate wish.
Working Conditions: The standard working hours for this position are 16 hours per week, offering flexibility within the office hours of Monday to Friday, from 8:30 to 17:00. We also acknowledge that term-time-only arrangements can be beneficial for certain candidates, and such arrangements would be considered for this role. Employees receive 20 working days of annual leave per year (pro rata), in addition to bank holidays and 3 days at Christmas. As a small company, flexibility is expected from both parties, and we offer some flexitime, allowing for a maximum of 30 days of holiday per year.
Salary: Negotiable depending on experience. Review at financial year end thereafter (March). Overtime paid at time and a half.
