To support the smooth day-to-day running of our Chester office by delivering a professional, welcoming and efficient experience for employees, customers, visitors and suppliers. Acting as the first point of contact for the business, this varied role combines reception, administration, facilities coordination and basic IT support responsibilities, ensuring the office operates effectively while providing outstanding organisational and administrative support across multiple departments.
Key Responsibilities:
Office Administration & Operations Support
Act as the first point of contact for visitors, customers and contractors.
Welcome visitors, answer the doorbell and provide a professional and friendly reception service.
Coordinate visitor visits, meeting room bookings and refreshments as required.
Manage inventory and restock office supplies, food deliveries, and cleaning materials.
Organise travel and accommodation bookings for employees and sales meetings.
Manage incoming and outgoing post and courier services which include arranging the dispatch of consumables and materials to customers as well as manage employee clothing and PPE requests.
Support general office administration and maintain an organised office environment.
Coordinate onboarding arrangements and inductions for new employees.
Building & Facilities Maintenance
Monitor standard facility systems (HVAC, lighting, plumbing) and report major issues to senior management.
Coordinate with external contractors, cleaners, and technicians for repairs and routine service appointments
Conduct daily walk-throughs of the premises to identify maintenance issues, repairs, or tidiness needs.
Health & Safety (H&S) Compliance
Perform regular, scheduled safety checks (e.g., fire extinguisher inspections, first aid box inventory, emergency light testing).
Keep emergency exit routes, hallways, and common areas clear of hazards.
IT Support
Arrange IT equipment for new starters and existing employees as required.
Assist with basic IT setup and troubleshooting where appropriate.
Escalate technical issues to the IT Support team and liaise with them to ensure resolution.
Support the management and tracking of company IT equipment.
Skills & Experience
Previous experience in an office administration, coordination or receptionist role.
Excellent organisational and multitasking skills.
Strong communication and interpersonal skills.
Confidence using Microsoft Office applications and troubleshooting basic IT issues.
Ability to work independently and use initiative.
Professional, approachable and customer-focused manner.
