The Office Document Distribution Coordinator handles the routine movement of approved materials between digital folders and colleagues. You might receive an updated information sheet, a completed meeting document or a form that has been cleared for general use. Your responsibility is to check the supplied distribution instructions, place the file where it belongs and let the intended recipients know how to access it.

This is an online office administration role, not editorial ownership of the material. You would not rewrite a policy or choose which draft has authority when that is unclear. Instead, you would ask the person responsible for the document to identify the approved version. That distinction is important: a file can look polished and still be the wrong one to circulate. Keeping a simple trail of what was sent, when and to whom prevents confusion later.

The route from receipt to distribution

At the start of an assignment, you would check the sender’s instructions and any reference to the intended audience. If there is no clear version, or an attachment differs from the named document, you would pause the distribution and clarify. Once the file is ready, you would apply the correct name, save it to the agreed online location and send a brief notification. A recipient should understand whether the document is new, updated or replacing an older copy. You may also remove an outdated link from a working list where the procedure allows it, while leaving any formal archive decisions to the responsible team.

Requests can arrive individually or in a small group. You would organise them so an urgent-looking email does not silently displace an earlier task whose deadline or audience is already known. The team will explain its priorities, but you should be comfortable noting what is pending and asking about competing instructions. The finished product is a correctly accessible file plus a clear notice, not merely an email saying that something was attached.

Pause the distribution when:

  • The file supplied does not match the version named in the instruction.
  • Two different recipient groups are listed for the same document.
  • An access setting seems to expose the material beyond its intended audience.
  • The person requesting circulation has not identified which draft is approved.

In those cases, a question to the document owner is a completed piece of useful work, even though the distribution itself remains pending.

The practical work

  • Compare the supplied file name, version and distribution instruction before sending anything.
  • Confirm a recipient group or document location when the request is incomplete.
  • Save approved files in the appropriate digital folder under the team’s naming convention.
  • Update a simple distribution list or record when a document has been circulated.
  • Draft short notices explaining what was shared and where it can be found.
  • Check a link or attachment before a message goes out.
  • Flag an inaccessible file, conflicting version or unintended recipient to a colleague.
  • Keep a brief record of a correction so the team can identify which notice is current.
  • Respond to a straightforward access question or pass a permissions issue to the right person.

This role does involve customer service when a colleague or external contact needs help locating information. A courteous answer should identify the document and the approved way to reach it, without sending confidential material through an unapproved channel. Care with recipients is as important as care with file names. You may use email, shared storage and a basic tracking sheet; the employer will teach the particular systems.

You could be new to office work. Previous experience with electronic filing, a shared drive or coordinating a small project is helpful, not essential. What you need from the start is basic computer confidence, close reading and the ability to send a clear written update. A person who has organised course materials or helped a group use current documents may have relevant transferable experience. Training will cover the team’s document conventions and which decisions require approval.

Working arrangement and pay

This is remote work that can be arranged on a full-time or part-time basis. A practical home office setup supports focused document checking and careful handling of files. The range is £30.25–£32.25 per hour. Hours and the exact division of responsibilities will be discussed for the vacancy.
