Job Description - Office Manager (Private Healthcare)

We are not looking for a traditional Office Manager.

We are looking for someone who can take ownership of the day-to-day running of a fast-paced practice management company supporting private medical consultants.

This is not a clinic-based role. You will be based in an office environment, overseeing a team that provides administrative and operational support to consultants across multiple locations.

Private Secretary Group provides high-quality administrative and practice management support to private medical consultants across the UK.

We manage everything from patient communications and clinic coordination to billing and day-to-day practice operations.

Our standard is simple: no message is left unanswered, and no task is left incomplete.

The Role

As Office Manager, you will be responsible for ensuring the smooth day-to-day running of the business.

You will oversee the team, monitor workflows, and ensure that all consultant and patient-related tasks are handled efficiently and to a high standard.

You will act as the day-to-day lead for the team, taking ownership of performance, accountability, and support.

This is a hands-on role where you will remain close to the work while also taking ownership of the wider operation.

You will report into our Head of Operations and work closely with the Managing Director.

  • Overseeing the day-to-day workload of the medical secretary team
  • Ensuring all tasks, clinics, and patient communications are completed accurately and on time
  • Acting as the first point of escalation for team queries, patient issues, and consultant requests
  • Running regular one-to-one meetings with team members to review performance, workload, and support needs
  • Providing clear, constructive feedback and holding team members accountable
  • Monitoring performance and flagging any concerns or gaps
  • Carrying out quality checks on correspondence and administrative work
  • Identifying inefficiencies and improving processes where needed
  • Supporting with complex or high-priority administrative tasks
  • Providing cover for key consultants where required

What We’re Looking For

  • Previous experience in a fast-paced administrative, operations, or office management role
  • Experience within private healthcare, professional services, or a similar high-pressure environment is highly desirable
  • Strong organisational skills and the ability to manage multiple priorities at once
  • Confidence managing people and holding others accountable
  • A proactive approach – you don’t wait to be told what to do
  • Excellent attention to detail, particularly when reviewing written correspondence
  • Strong communication skills, both written and verbal
  • Ability to remain calm under pressure and make decisions when needed

Important to Know

This is not a purely administrative role and not a front-of-house clinic position.

While you will remain close to the work and may support with administrative tasks where required, your primary responsibility is to ensure the team and wider operation run effectively.

Location & Hours

  • Full-time
  • Office-based in Bristol

Salary

£30,000 – £33,000 depending on experience

This role is ideal for someone looking to step into a more senior operational position, with opportunities for progression as the company continues to grow.
