Job Description - Operations Administrator

Project Operations Administrator
  • Job Type: Full-time 
  • Location: Erith
  • Monday - Friday / 8am - 4:30pm
  • Salary: £30,000 per annum

We are seeking a meticulous and organised Project Operations Administrator to join our client's team. This role is crucial in assisting the project management team with various operational and financial aspects of ongoing projects. The ideal candidate will coordinate travel, handle supplier relations, assist with project costings, ensure engineers’ qualifications are up to date, and provide comprehensive operational support.

Day-to-day of the role:
  • Travel & Accommodation Arrangements: Organise travel and accommodation for Project Managers and on-site staff for each project, ensuring smooth coordination.
  • Supplier Liaison: Communicate with suppliers to order necessary materials and labour for projects, ensuring timely and accurate deliveries.
  • Project Cost Support: Assist Project Managers with project costings, including reviewing and approving invoices, and setting up and raising Purchase Order numbers.
  • Accreditation Verification: Verify that engineers' accreditations and qualifications are up to date, ensuring compliance with project requirements.
  • Operational Support: Provide operational assistance by scheduling meetings, coordinating events, and ensuring effective communication within the team.
  • Financial Assistance: Analyse project costs and prepare financial reports to track budgets and expenditures, supporting the financial management of the project.
  • On-Site Staff Welfare: Periodic visits to project sites to monitor and ensure the well-being of staff, addressing any concerns and providing support as needed to maintain a safe and productive work environment.
Required Skills & Qualifications:
  • Proven experience in a similar role, preferably within project coordination or administration.
  • Competent Excel skills and strong organisational and multitasking skills.
  • Ability to work independently and as part of a team.
  • Excellent communication and interpersonal abilities.
  • Possess a "get up and go" attitude, always ready to take initiative and solve problems with enthusiasm and drive.
  • Attention to detail and the ability to prioritise tasks effectively.
  • A background in construction, engineering, or a related field is a plus.
