Field Operations Support

We are seeking a Field Operations Support (FOS) to join our dynamic team. This role is crucial for providing administrative support and clerical services to ensure effective and efficient operations. The FOS will support the Field Operations Manager (FOM), residents, and clients with information and support at all stages of service and works. This position requires a proactive and flexible approach to manage and coordinate various operational tasks.

Day-to-day of the role:
  • Manage and coordinate work orders from start to finish, including submitting quotes/tenders, arranging site visits, and scheduling resources.
  • Communicate effectively with clients and residents, ensuring all parties are informed and engaged throughout the service process.
  • Monitor and update Oneserve with real-time statuses and documentation such as CDM and Asbestos coding, iAuditor reports, drawings, and more.
  • Assist FOMs in coordinating direct in-house and agency operatives as well as subcontractors to maximize productivity, customer satisfaction, and quality of works.
  • Manage resources effectively, including plant, equipment, materials, and transport, to meet contract requirements and maintain good working practice.
  • Produce financial documents such as Applications for Payments, DFAs, and Invoices based on operatives’ timesheets, materials, and other relevant data.
  • Assist in managing recruitment processes, including dealing with recruitment agencies and conducting interviews.
  • Maintain up-to-date health and safety reports and ensure compliance with all relevant policies and procedures.
Required Skills & Qualifications:
  • Proven experience in administrative support or a similar role, preferably within a property maintenance or installation organisation.
  • Strong organisational and coordination skills to handle multiple tasks and deadlines.
  • Excellent communication skills to interact with various stakeholders.
  • Proficiency in using IT systems such as Oneserve and general office software.
  • Knowledge of health and safety regulations and compliance requirements.
  • Ability to work independently and as part of a team.
