Operations Manager / Senior Operations Executive - IT Recruitment - Systems, Processes, Automation, Repeatable, Scaleable
Surbiton (SW London Surrey) - WFH / Hybrid (must be commutable to Surbiton)
£27,500 - £35,000 + bonus + bens (dependent on experience)
Fantastic opportunity to join top performing, fast growth, specialist, IT Recruitment Consultancy in a Senior Operations position. Key focus of role is to provide operational and technology expertise across the business, positively impacting cost and competitive advantage. To be a key influencer and implementer of wider business strategy and productivity. Drive scalability and repeatability though evaluation and implementation of operational process, technology and automation.
Responsibilities of the Role:
Pivotal role to help & support us grow and scale the business. Work with the Directors to prioritise and deliver the following:
(Not all of this is essential on Day 1 - happy for someone with good ops experience to pick this up as we and they grow. A great opportunity to take ownership, learn progress and develop in the role)
Systems and Processes
Take Ownership of all Systems and Processes – Evaluate & Implement or Improve
Prioritise, own & deliver Ops Projects
Introduce back-office structure to the company
CRM – Work with Vincere to create optimum configuration, usage, and subsequent reporting
Standardise and manage all internal and external documents
Client and Contractor Contract Generation and Compliance
Sales MI + Reporting
Automation - Drive productivity gains, reduce manual tasks where appropriate
Client Contact Sequencing and Outreach
Candidate Contact Sequencing and Outreach
Evaluate and recommend new technologies - AI Automation etc
HR
Employee onboarding / offboarding (offer letters, contracts, new user set up, general employee management etc)
L&D, Personal Development and Training Plans
Manage Equity / Share Scheme
Internal Recruitment
InfraView Recruitment - Process Administration, pre-Screen applications and assist the Directors with the interviewing stages
Advertising & Automation
Sales Operations Management
Provide operational support required to facilitate sales growth through repeatable scalable sales processes.
Collate Reporting for Monthly Reviews
Running company employee incentives, recording performance, and sharing updates
Client Analysis
Provide Client analysis around spend and profitability
Work with Directors to facilitate Sales Forecasting
Feedback
Client, Candidate Feedback – Evaluate, implement, and own a Feedback process (we have a supplier ready - Recruiter Insider)
Supplier Management
Own / manage relationships with all external providers LinkedIn, JobBoards, IT, VOIP etc.
Marketing – liaise with existing outsourced Marketing providers (Addictivity / Recbound) and internal marketing to oversee from an Operational Perspective (runs itself mainly)
Finance - liaise with existing outsourced Finance provider to oversee measure from an Operational Perspective (runs itself mainly)
Liaise with Recruitment Partners
EA/PA
Provide Ongoing Support to the Leadership Team
Office Management
Take responsibility for all areas of the office environment
Personal Development
Utilise access to The Recruitment Network, RecWired and Members Only for Personal Development and Ongoing Peer Level Support
Attend TRN Operations Round Table and Events
Leadership
Part of the management team - come up with stuff we haven't thought of yet as we grow in next 12 months.
Streamline and set foundations for growth.
Compliance
Ensure operational systems are GDPR compliant and users are aware of requirements

Qualities required to excel in the role:
Skills / Experience
(Not all of this is essential on Day 1 - happy for someone with good ops experience to pick this up as we and they grow - we are only 8 people currently. A great opportunity to take ownership, learn progress and develop in the role)
Awareness of the principles of a CRM/ATS system, experience with process management
Stakeholder management
Commercial awareness
General office admin experience
The ability to demonstrate experience of taking on a project and seeing it through to completion.
Reviewing, optimising, and documenting processes to identify and implement change as required, in support of continual improvement.
Excellent business communication, planning and organisational skills
Capable of having a highly methodical/logical approach to problem solving
Experience collating data and running reports, the ability to integrate data quickly to communicate effectively with department and managers.
Experience of using LinkedIn/other job boards etc, research projects
Experience dealing with contracts and compliance in a recruitment business and supporting sales and marketing functions.
Excellent computer literacy using MS Office (Excel, Word, email) and CRM systems
Excellent relationship building skills and the ability to work with people at all levels within the company and be a team player.
Effective time management skills, with the ability to work under pressure and to deadlines.
The ability to create and maintain an efficient system of operation to support the business needs.
Comfortable multitasking and working cross-functionally with different business unit
Knowledge – what do you need to know?
Knowledge of recruitment industry
Knowledge of clients and their businesses
General RecTech Product knowledge
Technology Savvy - ideally strong with Automation tech or keen to learn
Knowledge of internal systems, processes, and recruitment processes
