Job Description - Operations Manager

Role Overview

We are recruiting a dynamic, results-driven Operations Manager to lead the operational delivery of Total Facilities Management (TFM) services across a flagship portfolio of commercial properties in the City of London.

Sitting between site-level management and executive leadership, you will take hands-on responsibility for day-to-day service performance across hard (M&E) and soft services. You will directly manage a team of Facilities Managers and operational supervisors, ensure contractual KPIs/SLAs are achieved, maintain robust statutory compliance, and manage operational expenditure against agreed budgets.

Key Responsibilities

Operational Leadership & Service Delivery

Direct and optimize daily TFM operations across multi-tenanted Grade A corporate assets, ensuring high standards of workplace presentation and service consistency.

Lead, mentor, and performance-manage an operational team comprising Facilities Managers, Contract Support, and technical/cleaning supervisors.

Serve as the senior operational escalation point for critical service issues, incident response, and complex occupier requirements.

Drive continuous improvement programs, standard operating procedures (SOPs), and service innovation across all contract deliverables.

Client & Occupier Relationship Management

Build trusted, responsive relationships with on-site client representatives, tenant committees, and corporate real estate heads.

Chair weekly operational reviews and contribute key metrics and action items to Monthly Management Meetings (MMMs).

Conduct regular site audits alongside client representatives to maintain transparent operational governance.

Compliance, Health, Safety & Risk

Ensure 100% statutory property compliance across all operational sites, encompassing fire safety, water hygiene, pressure vessels, and vertical transportation.

Collaborate closely with QHSE teams to maintain an active audit trail, manage near-miss reporting, and verify all contractor RAMS and permit-to-work systems.

Lead business continuity and emergency response protocols, serving as an on-call operational duty manager on a rostered basis.

Commercial & Supply Chain Management

Manage the operational budget for assigned contracts, monitoring labor costs, overtime, consumable spend, and sub-contractor costs.

Actively track and approve contractor work orders, variable works, and small project delivery up to agreed delegation of authority (DOA) limits.

Hold specialist subcontractors (e.g., HVAC, lift maintenance, security, waste) accountable to contracted SLAs and cost schedules through formal monthly service appraisals.
