Job Description - Operations Manger Assistant

Job Title: Operations Assistant

Location: SE16
Reports To: Operations Manager

Purpose of the Role:

We are looking for a highly organized, detail-oriented Operational Assistant with experience in dealing with UK and international shipping networks to support our growing client base. The successful candidate will manage bookings, tracking, and communications with a calm, professional demeanour-ensuring exceptional service while handling multiple tasks across operations and administration. You'll play a key role in maintaining the smooth flow of Sameday , international and domestic logistics, providing clients with reliable, proactive support that reflects Mango's high standards and values.

Key Responsibilities:

International & Domestic Logistics Coordination:

  • Manage end-to-end shipment processes, including international deliveries with varying customs and regulatory requirements.
  • Monitor, track, and proactively respond to international shipping queries and delays.
  • Prepare and check pro-forma invoices for non-EC and other applicable destinations.
  • Stay informed of global shipping updates, including strikes, public holidays, and route disruptions.

Client Support & Communication:

  • Respond to a high volume of email and phone enquiries with patience, professionalism, and a problem-solving attitude.
  • Liaise with overseas agents and ensure timely, accurate updates to clients.
  • Handle complex queries with composure and provide clear, timely solutions.
  • Maintain consistent, high-quality communication throughout the delivery process.

Administrative Duties & System Management:

  • Update booking systems and CRM with notes, pricing, and client data.
  • Verify and file supplier invoices, request credits or corrections where needed.
  • Ensure all jobs are accurately priced and invoiced on a weekly/monthly basis.
  • Maintain detailed shipment records and generate Proof of Delivery (POD) reports.

Operational Support:

  • Organise, Allocate and confirm daily collections and deliveries, ensuring smooth routing for drivers.
  • Inspect, wrap, and re-pack packages as needed for safe transit.
  • Monitor and reorder packing materials and office stock as needed.

Client Relationship Management:

  • Build and maintain strong client relationships through excellent service and attention to detail.
  • Manage client records and interactions via CRM.
  • Identify opportunities for referrals and long-term engagement.

  • Proven experience in international shipping and logistics
  • Excellent multitasking skills with the ability to prioritise and manage changing workloads
  • Patient, professional communicator with strong customer service orientation
  • High attention to administrative detail and accurate data entry
  • Competent using logistics and CRM systems
  • Team player who can also work independently under pressure
