Job Description

This vacancy is open to employees of Isle of Wight NHS Trust and Portsmouth Hospitals University NHS Trust only

Band 5: £29,970 - £36,483

Full time hours: 37.5 per week

Permanent contract

Location: Queen Alexandra Hospital, Southwick Hill Road, Cosham, PO6 3LY

We are looking for an experienced Personal Assistant to provide day to day managerial, secretarial and administrative support to the Deputy Chief Nurse (Group) and Associate Director of Nursing for Quality, Safety and Patient Experience.

If you have strong interpersonal and communication skills and are able to demonstrate strong organisational, diary management and prioritisation skills and are responsive to changing demands of a role, and enjoy working within a friendly team, then we would like to hear from you.

You will be working with Quality and Safety leads across PHU and IWT to ensure that internal procedures are followed and deadlines are met so that the Team continues to provide a patient safety and quality focused and professional service across both organisations and service users. 

The post holder will have the ability to liaise and communicate effectively with staff and managers at all levels within the Trust, using sensitivity, discretion and sensitivity, across the wider NHS and other external organisations.

Qualifications

  • Qualification in business administration or demonstrable administration, project support and management skills.
  • Track record of delivery to tight deadlines.

Experience

  • Significant experience of a wide range of administrative processes and office management.
  • Evidence of a high standard of ability in written work, dealing with complex and sensitive subjects.
  • Experience of working in a busy, demanding environment.
  • Experience of prioritising work to meet deadlines
  • Experience on a wide range of high quality administration support including diary management, arranging meetings etc. 

Knowledge

  • Excellent time management and organisational skills.
  • Ability to gather data, compile information and prepare reports.
  • Skill in the use of computers in a Windows-based operating environment
  • Ability to communicate effectively both orally and in writing
  • Ability to make administrative/procedural decisions and judgements.
  • Demonstrate competence in a variety of IT systems, including ESR and SBS
  • Team worker with the ability to work anonymously.
  • Excellent customer service/care skills.
  • Is a problem solver.
  • Have strong interpersonal skills.
  • Have strong presentation skills.
  • Has well-developed influencing skills across hierarchies and disciplines.
