Job Description - PA to Commercial Director

Company Overview:

Coinford is a groundworks and concrete frame specialist that delivers contracts ranging from £5million to £50million throughout London and the Southeast of England. This role works out of our Head Office in Burstow, Surrey.

Role Purpose/Objective:

Providing a seamless service for the Commercial Director within their busy daily schedule. This role provides administrative and organisational support.

Key Responsibilities:

* Organise and maintain extremely busy diaries and schedule appointment, both internal and external

* Ensure busy diary commitments are managed effectively including preparation of agendas and relevant information, and paperwork for meetings etc.

* Screen phone calls, enquiries and requests, and deal with them when appropriate.

* Manage all the Commercial Directors administration including expenses, accounts, filing and contacts.

* Review post and manage paperwork signing requirements.

* Prepare correspondence on behalf of the Commercial Directors including drafting general replies.

* Chase actions based on notes taken at Commercial Director meetings.

* Carry our Office manager and facilities duties.

The above list of job duties is not exclusive or exhaustive and the post holder will be required to undertake such tasks as may reasonably be expected within the scope of their role. Training will be given on all our company systems

Experience/skills required:

Exceptional organisational skills

Excellent written and verbal communication skills, with the ability to adjust approach to suit the audience

Accuracy and Attention to detail

Calm, measured and professional manner

Ability to multi-task, balancing a variety of tasks at the same time dependent on their priority

A flexible and adaptable approach to work

Ability to work on own initiative and produce documentation based on a brief from the Commercial Director.

Proficiency in Excel, Word and PowerPoint is necessary.

Qualifications:

Must possess Maths and English GCSE or equivalent qualification

Secretarial /Business Administration qualification is desirable but not essential
