Job Description - Payment Coordinator

Payment Coordinator - Chester

As a Payment Coordinator, you will be a vital member of the Payments Team, contributing to a customer-focused and highly motivated environment. Your role is central to ensuring that subcontractors and employees of our contracting companies are paid accurately and on time. Aligned with our company’s mission, vision, and values, you will help foster a culture of collaboration, continuous improvement, and professionalism.

What you’ll be doing:

  • Processing timesheets and managing client invoicing in line with signed agreements.
  • Accurately processing subcontractor and employee payments according to agreed schedules and methods.
  • Supporting finance reconciliation procedures and contributing to audit processes.
  • Communicating relevant payment information to internal teams and external clients.
  • Handling client queries on payroll, taxation, and administration issues, including non-payments and corrections.
  • Collaborating with the Operations Team to provide client-specific updates and support Account Managers.
  • Managing individual client accounts as assigned by the Payments Manager.
  • Responding to legislative inquiries from external bodies such as HMRC and DWP.
  • Administering statutory payments (SSP, SMP, SPP, SAP) for Umbrella Employees.
  • Submitting Full Payment Submissions (FPS) to comply with Real Time Information (RTI) regulations.
  • Supporting debt recovery efforts in collaboration with Finance.
  • Upholding company policies, contributing to compliance, cost management, and continuous improvement efforts.
  • Participating in training programs and supporting wider team initiatives as needed.

  • Proven experience working in a customer service-oriented team environment.
  • Strong payroll knowledge and the ability to interpret relevant legislation.
  • Sound financial understanding and attention to detail.
  • Clear, confident communication skills with a strong focus on listening and providing effective advice.
  • A professional, courteous, and diplomatic approach when dealing with clients.
  • Integrity, discretion, and the ability to handle confidential information.
  • A collaborative mindset with resilience under pressure.
  • High levels of self-motivation and accountability.
  • Proficiency in IT systems, including Microsoft Office and internal databases.
  • Strong organisational skills with a proactive approach to process improvement.
  • Openness to feedback and personal development.
