· An opportunity has arisen for a People & Systems Coordinator to join an established HR function, with a particular focus on HR systems management, data integrity and process improvement.
· The position plays a central role in the effective operation and ongoing development of CIPHR, the company's HR information system. Responsibilities include system administration, troubleshooting, reporting, user support and identifying opportunities to improve functionality, streamline processes and enhance the overall user experience.
· Beyond the day-to-day maintenance of the system, the role requires a proactive approach to understanding how HR processes operate, resolving issues and implementing practical improvements that support both employees and managers.

Additional responsibilities include supporting company communications and general site administration.
· This is a varied role in a busy and supportive HR team, with plenty of opportunities to get involved in different areas of the business. Priorities can change quickly, so you’ll need to be organised, adaptable and comfortable juggling several tasks, while still maintaining a high level of accuracy and service.

· Act as the primary point of contact for CIPHR queries, providing practical support to employees and managers and resolving system-related issues.
· Investigate and troubleshoot technical or process issues, liaising with CIPHR and other external providers where additional support is required.
· Identify opportunities to improve system functionality, streamline workflows and reduce unnecessary manual administration.
· Support system updates, testing, configuration changes and the implementation of new functionality.
· Produce accurate HR reports, management information and people data to support business decision-making.
· Maintain high standards of data integrity, identifying discrepancies and taking appropriate corrective action.
· Develop clear user guidance, training materials and practical resources to help colleagues use the system confidently.
· Deliver system training and ongoing support to managers and employees, encouraging effective use of available functionality.
· Work closely with the HR Manager to review existing HR processes and recommend practical improvements that enhance efficiency, accuracy and the employee experience.

HR Administration:

· Alongside your systems responsibilities, you'll help ensure the smooth and effective delivery of HR services across the business.
· Coordinate HR administration throughout the employee lifecycle, ensuring documentation, records and processes are completed accurately and on time.
· Manage the onboarding process for new starters, including pre-employment checks, contractual documentation, system setup, payroll information and induction arrangements.
· Process employee changes, including contractual amendments, probation reviews, payroll adjustments and leaver administration.
· Prepare and coordinate monthly payroll changes, ensuring information is accurate and submitted within agreed deadlines.
· Support the administration of employee benefits, including pensions, private medical insurance and other company schemes.
· Act as an approachable first point of contact for general HR enquiries, providing guidance and escalating more complex matters to the HR Manager.
· Coordinate occupational health appointments, health surveillance and other site-specific employee requirements, maintaining accurate and confidential records.

· Assist with the preparation and coordination of internal communications, employee announcements and company updates.
· Support the drafting and distribution of external communications, including press releases, website updates and social media content.
· Liaise with internal stakeholders and external communications contacts to ensure information is accurate, consistent and appropriately approved.
· Help maintain a communications calendar, coordinating key announcements, campaigns and business updates.
· Provide general office and site administration support, including travel arrangements, meeting coordination, catering and company events.
· Assist with other administrative activities as required to support the smooth running of the site.
