Role overview
You will be responsible for providing support to members of the executive team from proactively managing diaries, organising events, and preparing, presentations and data packs. You will need to be able to work in a fast-paced environment, managing strict deadlines. Your outputs will need to be delivered to a high standard. You will also manage expenses, purchase orders and other relevant admin processes on behalf of the Executive Team. Working mainly in the Ripponden office, some ad hoc travel will be required to support various off site meetings as well as ad-hoc working out of hours.

Key tasks

Extensive management of multiple calendars, organisation of meetings including preparation of information and action follow up.
Management and co-ordination of Board level information, including presentations, data packs and meeting agendas aiding in meeting strict deadlines.
Handling of other highly confidential and sensitive information.
Organising travel arrangements and accommodation.
Liaison with stakeholder groups including shareholders, suppliers and potential senior employees.
Undertaking confidential correspondence on behalf of the team.
Liasing directly with queries or escalations to relevant team members.
Coordination of company wide charity initiatives to support our social agenda.
Organisation of corporate events through the year.
Support in managing some personal items such as properties.

Demonstrate an understanding of what service delivery excellence is for your role
Ensuring you set a culture of excellent customer service ensuring the basics are right every time
Work collaboratively with teams across the business to ensure that deadlines are delivered

Managing Risk

Awareness of your operational and regulation risks which may impact on your role
Responsibility for reporting to your line manager any risk which may impact the business

Knowledge and Skills

Advanced knowledge of PowerPoint and proficient in Excel and Word
Excellent communication skills, both written and verbal.

Experience

A proven track record as a Personal Assistant or similar admin role with a highly organised approach.

Approachable but assertive, able to manage confidential and sensitive situations.
Enthusiasm and drive to deliver results to consistently high standards in a fast paced and demanding environment.
Comfortable working largely on your own initiative, you will also build and utilise relationships across the group.
A proactive, can-do approach with the flexibility to resolve difficult situations and find ways to improve.

Qualifications

We will need you to have a full UK diving licence as the role involves UK travel.
