Job Description - Personal Assistant

Role: Personal Assistant
Location: London, England (Hybrid Working)

My client has experienced rapid growth and success, and are now searching for a Personal Assistant to join their team in London. Due to the broad spectrum of clients, the right candidate will be given the opportunity to work across a wide range of renewable energy projects and have many opportunities to progress further in the company.

They are now looking to hire an exceptional Personal Assistant to support a minimum of 4 Heads of Departments within their very busy investment team. A small team of two has recently joined and will need some limited support.

Responsibilities include:
• Full diary management, with a proactive approach to prioritizing meetings and removing clashes.
• Collaborating closely with the EA and other business support team members to facilitate board dinners and office events, and contributing to the success of the business support team by suggesting new ways of working and process improvements
• Serving as a primary point of contact for the 4 Heads of Departments and organizing team offsites and team events
• Processing expenses, formatting documents and presentations, and printing and binding documents as required
• Scheduling department meetings and assisting in the preparation and distribution of meeting agendas and materials
• Scheduling board meetings for various teams and funds as needed
• Managing Outlook contacts
• Working closely with the people team in organizing case studies and interviews
• Organizing external client meetings, including those across multiple time zones
• Coordinating international travel, conferences, and events
• Performing any other duties associated with the above

Key Skills and Experience: The ideal candidate will have:
• Strong teamwork and excellent organizational skills
• Experience and good working knowledge of Microsoft packages (Outlook, Word, Excel, Teams, PowerPoint)
• Previous experience in a similar role within a fast-paced environment
• The ability to multitask and prioritize workloads
• The ability to handle multiple deadlines and assignments with minimal supervision
• Strong internal and external relationship management skills, enabling engagement at all levels
• Superb written and verbal communication skills for drafting clear messaging, presentations, and communications
• A strong work ethic with a sense of urgency, taking ownership of projects and areas of responsibility and seeing them through to completion with consistently good outcomes
• The ability to demonstrate absolute discretion at all times due to the confidential nature of the work
• Exposure to and understanding of private equity, renewable energy, and lending, or a genuine interest in one or more of these sectors, would be desirable but not essential
