We are delighted to introduce a new and exciting opportunity to join Hollis in a pivotal role at the heart of our Business Support function. The Portfolio Service Co‑Ordinator plays a key role in enabling both our operational delivery teams and fee‑earning professionals, ensuring client instructions are coordinated, delivered efficiently and supported to the highest standard.

You will have real ownership and visibility from day one, acting as a central point of coordination across portfolios, stakeholders and service lines. This is a 12‑month fixed‑term contract, starting as soon as possible based in our London office.
Key responsibilities
· Take ownership of multiple client portfolios across a range of service lines, ensuring instructions are delivered smoothly and on time
· Set up projects in collaboration with fee earners, Business Support colleagues and the Central Operations team
· Coordinate portfolio projects involving multiple locations, consultants and disciplines
· Manage deadlines and workflows to ensure reports are issued within agreed timescales
· Prepare and maintain project trackers, including follow‑up on project close‑out, billing and future instructions
· Act as a key point of contact for clients and third parties from inspection requirements through to final report delivery
· Liaise with the Hollis legal check group, clients and third parties regarding reliance letters
· Support surveyors with billing processes and WIP management
· Manage documentation within data rooms and document management systems
· Work with Compliance to ensure new consultants and contractors are onboarded and approved
· Raise purchase orders for consultants and contractors
· Support the production and coordination of reports prepared by fee earners
· Provide ad‑hoc support to regional fee earners and the wider Business Support team
· Work closely with managers to ensure KPIs and service levels are met
Skills and experience
· At least two years’ experience in a coordination or business support role, ideally within professional services
· Excellent written and verbal communication skills with strong attention to detail
· Strong organisational skills and the ability to manage multiple priorities
· Good data handling and basic project management skills
· Strong IT skills including Microsoft Office and Teams
· Experience with Dynamics 365, SharePoint or document management systems (desirable)
· A proactive and collaborative approach when working with stakeholders
· A collaborative and growing consultancy with a strong industry reputation
· A newly created role with influence across operational and fee‑earning teams
· Exposure to a wide variety of clients, portfolios and service lines
