Role Overview:

Job Title: Legal Secretary
Department: Probate
Reports To: Head of Department

As a Legal Secretary, you will provide high-level secretarial support to solicitors and legal executives, ensuring the smooth and efficient operation of the department.

Key Responsibilities:

• Document & Correspondence Management: Ensure the seamless flow of documents and correspondence in and out of the department.
• Legal Document Preparation: Type legal documents from handwritten notes or transcribed dictation.
• File Management: Open, close, and maintain files, ensuring all relevant documents are appropriately filed.
• Administrative Support: Photocopying, preparing trial bundles, managing diaries, and organizing internal/external meetings.
• Communication: Handle phone calls, take messages, and manage new inquiries.

Additionally, you may provide support across the firm, covering when other team members are away or during periods of high workload.

Essential Skills & Attributes:

• IT Proficiency: Strong Word processing skills (Excel and PowerPoint are beneficial).
• Confidentiality: A keen understanding of confidentiality and an interest in legal matters.
• Organisation: A well-organized, conscientious approach with the ability to manage your time and priorities effectively.
• Communication: Excellent written and verbal communication skills with a strong command of the English language.
• Interpersonal Skills: Good social skills, tact, patience, and the ability to work both independently and as part of a team.
• Appearance: Smart and professional.

Qualifications & Experience:

• Good general education, particularly in English.
• Experience with a Practice Management System is desirable but not essential.
• Previous legal secretary training or a relevant qualification is preferred.
