Overview
An established legal practice is seeking a Legal Secretary to provide comprehensive support to fee earners within its Private Client team. Responsibilities include preparing correspondence and legal documents, diary management, arranging meetings, maintaining filing systems, and assisting with general administrative duties.
The role also involves providing occasional reception cover, handling client enquiries professionally, and ensuring all confidential information is managed appropriately. The successful candidate will demonstrate strong organisational skills, excellent attention to detail, and the ability to manage multiple priorities within a busy legal environment.
Key Responsibilities
Secretarial Support
Prepare correspondence and legal documents using digital dictation and word processing systems. Manage and maintain fee earner diaries, appointments, and meetings. Provide comprehensive secretarial support within the department. Assist colleagues and provide support to junior or temporary staff where required. Provide reception and administrative cover during periods of absence.
Document & File Management
Open, maintain, close, archive, and retrieve client files. Ensure all client and business documentation is handled confidentially. Prepare outgoing post and supporting documentation. Assist with document production, copying, scanning, and filing. Maintain accurate and organised filing systems.
Client Communication
Deliver a professional and courteous service to clients in person and by telephone. Liaise effectively with clients, fee earners, and colleagues. Handle enquiries promptly and efficiently. Support high standards of client care and professionalism.
Team Support
Contribute positively within a collaborative team environment. Prioritise workloads effectively to meet deadlines. Work independently using initiative while maintaining attention to detail. Support continuous improvement and professional development activities. Undertake additional duties as required.
Skills & Experience
Previous legal secretarial experience, ideally within Probate or Private Client. Strong IT skills including Microsoft Office applications. Experience using legal case management systems would be advantageous. Excellent written and verbal communication skills. Strong organisational and time-management abilities. Ability to handle confidential information with discretion. Professional, proactive, and client-focused approach. Ability to work both independently and as part of a team.
